Job Summary:

The Operation Executive is responsible for overseeing and supporting day-to-day logistics and operational activities in the Qatar branch. The role includes shipment coordination, documentation, team supervision, cost control, issue resolution, and ensuring smooth coordination between warehouse, transport, and clients. The position requires strong organizational skills, decision-making ability, and efficient communication.

Key Responsibilities:

1. Shipment & Transport Coordination

Coordinate inbound and outbound shipments with transporters, warehouse teams, and clients.

Track daily deliveries and ensure timely movement of goods.

Arrange pick-ups, deliveries, and urgent dispatches as required.

2. Team Supervision

Supervise warehouse helpers, drivers, and field staff during daily operations.

Assign tasks and ensure team performance meets operational standards.

Provide basic training to team members on SOPs and safety protocols.

3. Documentation

Prepare delivery notes, invoices, packing lists, gate passes, and transport requests.

Handle customs and clearance documentation when needed.

Maintain accurate filing of all operational documents.

4. Communication & Client Coordination

Act as the main contact point for clients, transporters, suppliers, and internal departments.

Provide shipment updates and resolve client-related queries.

Coordinate with warehouse and transport departments to avoid operational delays.

5. System & Reporting

Update all operational activities in the ERP/WMS system.

Maintain accurate and timely data entry.

Prepare daily, weekly, and monthly reports for management.

6. Issue Resolution

Identify operational bottlenecks, delivery delays, documentation issues, or resource shortages.

Provide immediate solutions and corrective actions.

Escalate major unresolved issues to the Operations Manager.

7. Budget & Cost Management

Monitor operational expenses such as transport costs, manpower usage, and overtime.

Support management in cost optimization and budget planning.

Ensure cost-effective use of resources without compromising service quality.

8. Compliance & Quality

Ensure operations follow company SOPs and Qatar logistics regulations.

Enforce safety standards and support operational audits.

Assist with quality control checks and continuous improvement processes.

9. Coordination with Government & Vendors (Qatar Specific)

Coordinate with customs, port authorities, and clearance agents.

Communicate with transport vendors and service providers to ensure service reliability.

Required Qualifications & Skills:

1–3 years of experience in logistics/operations (Qatar experience preferred).

Experience in team coordination/supervision.

Basic understanding of cost control and budgeting in logistics.

Knowledge of Qatar customs, transport regulations, and local procedures (preferred).

Familiarity with ERP/WMS systems (training can be provided).

Strong communication skills in English; Arabic is an added advantage.

Good problem-solving, follow-up, and time-management skills.

Ability to work under pressure and meet tight deadlines.

Valid Qatar Driving License (Mandatory).

Job Type: Full-time

Pay: QAR3,000.00 - QAR4,000.00 per month
