Operations, Administration and Executive Coordinator

Location: Riyadh - office presence 5 days per week

Monthly Base Salary: SAR 10,600 - SAR 12,800 (depending on experience)

Responsibilities
  • Executive Support: Collaborate closely with C Suite executives, anticipate their needs, and proactively address challenges.
  • Calendar Management: Organize and maintain complex calendars, balancing meetings, appointments, and travel arrangements.
  • Internal Communications: Handle communications on behalf of executives, ensuring timely responses and maintaining professionalism.
  • Meeting Preparation: Research topics, create agendas, collate materials, and support all employee meetings.
  • External Liaison: Interact with partners, stakeholders, and support the purchasing team, represent the executive's office professionally.
  • Large Scale Events: Support planning and execution of significant events (conferences, board meetings, networking sessions, team gatherings across the region).
  • Travel Arrangements: Book travel, accommodation, and provide assistance with every step of executive travel.
  • Business Invitation Letters: Assist with reviewing and issuing business invitation letters to Caterpillar employees visiting the Saudi office.
  • Admin SharePoint: Manage the office admin SharePoint page, ensuring up to date information related to office and events is shared.
  • Onboarding & Office Supplies: Facilitate admin induction, maintain IT & other supplies/inventory.
Qualifications & Key Skills
  • Accuracy and Attention to Detail - proficiency in error identification, checklist use, and precise output.
  • Collaborative Techniques - experience in productive collaboration, initiating meetings, and promoting cross group cooperation.
  • Effective Communications - delivering feedback, listening, oral presentations, writing reports, and avoiding jargon.
  • Flexibility and Adaptability - adjusting to changes, managing multiple assignments, and considering alternative approaches.
  • Managing Multiple Priorities - self management, prioritization, and handling concurrent activities.
  • Problem Solving - disciplined approach, reporting, escalation practices, and applying structured techniques.
  • Office Administration - arranging meetings, maintaining equipment, coordinating travel, and managing supplies.
  • Microsoft Office - basic use of Word, PowerPoint, Excel, and Office desktop applications.
Additional Information
  • Requires onsite presence five days a week.
