Hours: Full-time; Monday - Friday, 8:30am - 5:00pm

Position Description
The Operations Administrative Assistant plays a key role in supporting the day-to-day success of the Operations Department. This position provides essential administrative and organizational support across a wide range of operational functions. The ideal candidate is a systems-minded administrator who learns new software quickly, enjoys bringing order out of chaos, and takes initiative to identify and implement improvements. This role involves working closely with team members to manage invoices, purchase orders, documentation, and communications with internal and external stakeholders. The successful candidate will be proactive, detail-oriented, and an effective communicator who takes ownership of their work, who is proactive and organized individual who can manage multiple priorities, and who can work collaboratively with team members.
Responsibilities
  • Learn and utilize company systems such as MaintainX (experience preferred) and other software platforms for process tracking and workflow management.
  • Provide administrative support to the Operations Department throughout the lifecycle of company projects.
  • Prepare, process, and track purchase orders, contracts, invoices, and related documentation.
  • Maintain organized and accurate records, spreadsheets, and databases; ensure consistent document control and version tracking.
  • Serve as a key point of contact for internal and external communications related to operational and administrative matters.
  • Support inventory management, including tracking spare parts and materials as needed.
  • Coordinate meetings, including scheduling, preparing agendas, and taking minutes when required.
  • Communicate effectively with vendors, contractors, and team members to ensure timely responses and task completion.
  • Assist with preparing reports, correspondence, and other documents assigned.
  • Identify opportunities to improve efficiency and organization within the department and take initiative to implement solutions.
  • Maintain confidentiality and professionalism in all communications and documentation.
Qualifications & Skills
  • Proven experience in administrative or operations support roles.
  • Experience with MaintainX or similar workflow management systems preferred.
  • Strong working knowledge of Microsoft Office Suite, including Excel and Outlook; proficiency with Adobe Acrobat.
  • Experience working with invoices, purchase orders, and vendor communications.
  • Highly organized with exceptional attention to detail.
  • Self-motivated and proactive — takes ownership of responsibilities and follows through without prompting.
  • Quick learner with the ability to grasp new systems and software efficiently.
  • Excellent written and verbal communication skills.
  • Strong critical thinking and problem-solving abilities.
  • Positive attitude, adaptable, and enjoys contributing to a collaborative team environment.
  • Must be proficient in English.

This job mainly operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

This is largely a sedentary role with some travel required. This would require the ability to walk up and down stairs, and to enter, travel in, and exit vehicles and airplanes.
