Operations Administrator

Job Summary
We are seeking a dynamic and highly organized Operations Administrator to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring smooth office functionality and exceptional support across departments. Responsibilities

  • Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
  • Handle procurement
  • Ensure regulatory compliance and data tracability
  • Oversee calendar management, scheduling appointments, meetings, and coordinating logistics efficiently
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations
  • Provide exceptional customer support by addressing inquiries, resolving issues, and maintaining positive relationships
  • Assist with office management duties such as supply inventory, maintaining cleanliness, and organizing files
  • Support personal assistant functions when needed to facilitate executive scheduling and task management
  • Operate multi-line phone systems, handling inquiries promptly and courteously using excellent phone etiquette

Experience

  • Experience with bookkeeping or financial record keeping using QuickBooks or similar software is a plus
  • Proven office experience or administrative background demonstrating organizational skills and multitasking abilities
  • Familiarity with office management tools such as Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar)
  • Previous customer service or customer support experience that emphasizes professionalism and effective communication skills
  • Knowledge of clerical procedures including filing systems, data entry, proofreading, and document management
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment

Job Type: Temp-to-hire

Pay: $49,395.66 - $59,487.25 per year
