The Operations and Fulfillment Coordinator supports the smooth day-to-day operations of the Mary Foundation, ensuring that products and materials are delivered accurately, efficiently, and on time, while also assisting with quality assurance and inter-departmental coordination.
Qualifications:
Education and Experience: Degree in Business, Operations, Supply Chain, or related field (or equivalent work experience) is welcome, but not required. Exposure to non-profit, e-commerce, or distribution is beneficial, but not required.
Faith Formation: Devout Catholic
Work Setting and Schedule:
Monday - Friday 9AM to 5PM with occasional flexibility for high demand periods
Combination of open office/administrative work and hands-on fulfillment tasks (able to consistently lift up to 40 lbs)
Skills:
- Strong organizational and time-management skills
- Detail oriented with accuracy in data entry and reporting
- Effective communicator with problem-solving mindset
- Ability to work independently and as part of a team
- Manual dexterity and proficiency at touch typing
Key Responsibilities:
- Process incoming orders and ensure timely and accurate fulfillment.
- Coordinate shipping, tracking, and delivery with suppliers, carriers, and customers.
- Ensure packaging, labeling, and documentation meet organizational standards.
- Manage returns, exchanges, and issue resolution related to shipments.
- Maintain operational awareness and standard operating procedures (SOPs).
- Monitor supplier performance and escalate issues as needed.
- Support compliance with safety, quality, and regulatory requirements.
- Assist in evaluating and implementing process improvements.
- Perform customer service in accord with Mary Foundation standards.
- Track stock levels and maintain accurate inventory records.
- Conduct regular counts and reconcile discrepancies.
- Communicate restocking needs and assist with procurement.
- Identify opportunities to streamline inventory processes and reduce waste.
- Generate and distribute reports on fulfillment, inventory, and operations metrics.
- Assist with budget tracking and invoice processing.
- Provide support for cross-departmental projects as assigned.
- Serve as a point of contact for internal teams and external stakeholders.
