Key Responsibilities: ISM & Documentation Management
- Maintain, update, and track all ISM Code documentation, certificates, and records for assigned vessels.
- Assist in the preparation, circulation, and filing of safety-related documents, procedures, and manuals.
- Follow up on vessel statutory and class certificates, flag state documents, and ensure timely renewals.
- Support document control, filing systems, and electronic records for compliance with internal and external audits.
Operational Support
- Assist the Senior Operations Executive in daily vessel operational matters, including reporting and compliance monitoring.
- Monitor vessel reports and escalate issues as required.
- Liaise with vessel crew and provide administrative support for operational requests.
- Track and report on operational KPIs (including incidents, near-misses, safety drills).
Audit & Inspection Assistance
- Coordinate vessel inspections, internal audits, and external audits (Class, Flag, Port State, Oil Major, etc.).
- Prepare documentation and checklists for audits and inspections.
- Track audit findings and ensure timely closure of corrective actions.
Administrative & Reporting Duties
- Provide administrative support to Operations and HSE departments, including record-keeping, correspondence, and reports.
- Assist in preparing presentations and reports for management meetings.
Qualifications & Requirements
Education:
- Diploma or Bachelor’s degree in Marine Engineering, Shipping & Maritime Studies, Nautical Science, or QHSE Management.
Experience:
- 1–3 years of experience in ship management, marine operations, vessel manufacturing, or HSE roles within the maritime industry.
- Internship or exposure to ISM Code compliance, vessel documentation, and audit preparation is an advantage.
Knowledge & Skills:
- Working knowledge of ISM Code, ISPS, MARPOL, SOLAS, and other international maritime regulations.
- Familiarity with vessel documentation, statutory and class certificates, and flag state requirements.
- Understanding of shipyard operations, vessel commissioning, and safety standards.
- Strong organizational and documentation skills.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Good communication and coordination skills with multinational crew and office staff.
- Attention to detail and ability to follow through on assigned tasks.
