Job Summary:

The Operation Executive is responsible for managing and supporting day-to-day logistics and operational activities in the KSA branch. This includes shipment coordination, documentation, team supervision, cost management, resolving operational issues, and ensuring smooth coordination across warehouse, transport, and client operations. The role requires strong organizational skills, leadership ability, and effective communication.

Key Responsibilities:

1. Shipment & Transport Coordination

Coordinate inbound and outbound shipments with transport providers, warehouse teams, and clients.

Track deliveries, monitor transit updates, and ensure timely movement of goods.

Arrange pick-ups, deliveries, and urgent dispatch requirements.

2. Team Supervision

Supervise warehouse helpers, drivers, and operational staff during daily tasks.

Assign duties and monitor performance to ensure operational standards.

Provide basic training on company SOPs, safety awareness, and operational processes.

3. Documentation

Prepare shipping and delivery documents including invoices, packing lists, delivery notes, gate passes, and transport requests.

Ensure proper filing and documentation for all shipments.

Support customs-related documentation .

4. Communication & Client Coordination

Act as a key communication point for clients, suppliers, and internal departments.

Provide shipment updates, handle customer queries, and resolve minor issues.

Maintain good coordination with warehouse and transport teams to avoid operational delays.

5. System & Reporting

Update ERP/WMS with shipment details, stock movement, and operational activities.

Ensure accuracy in system entries and timely report submission.

Prepare daily, weekly, and monthly operational performance reports.

6. Issue Resolution

Identify operational issues such as delays, documentation problems, or resource shortages.

Implement quick solutions and corrective actions.

Escalate major issues to the Operations Manager for further action.

7. Budget & Cost Management

Monitor operational expenses including transportation cost, manpower allocation, overtime, and equipment usage.

Support cost optimization initiatives and help maintain budget discipline.

Ensure efficient utilization of resources to reduce unnecessary expenses.

8. Compliance & Safety

Ensure adherence to company policies, SOPs, and KSA logistics regulations.

Reinforce safety practices and coordinate safety checks.

Support internal and external audits as required.

9. Vendor & Government Coordination (KSA Specific)

Coordinate with transport vendors, service providers, and suppliers.

Assist in communication with customs, port authorities, and clearance agents when required.

Required Qualifications & Skills:

1–3 years of experience in logistics or operations (KSA experience preferred).

Experience in team coordination or supervision.

Basic understanding of cost control or budget monitoring.

Knowledge of KSA logistics processes, transport rules, and customs procedures (preferred).

Strong communication skills in English (Arabic is an advantage).

Good planning, follow-up, and issue-resolution skills.

Ability to work under pressure and manage deadlines.

Valid KSA Driving License (Mandatory ).

Pay: ﷼3,000.00 - ﷼3,500.00 per month
