Operations Assistant

Job Title: Operations Assistant
Role Overview:
LEDFlex Group was established in 2010 after identifying a gap in the market for a more comprehensive range of linear lighting products and has now grown into a leading technology supplier. We design, develop and manufacture LED lighting solutions for the UK and International markets. At LEDFlex we continue to lead the way in performance, efficiency and ecological friendly exterior and interior projects.
The Operations Assistant is responsible for supporting operations by monitoring all purchase orders within the system, ensuring they are progressing according to plan, and coordinating closely with logistics and internal teams to guarantee timely collection and delivery of goods. This role plays a critical part in maintaining visibility, accuracy, and operational flow across the procurement lifecycle.

Key Responsibilities:
1. Purchase Order Monitoring & Tracking
    Monitor all purchase orders in the system to ensure they are active, accurate, and progressing according to agreed timelines.
    Track PO status from creation through to delivery and closure.
    Identify delays, risks, or discrepancies and escalate them to the Procurement Team Lead.
    Maintain up-to-date records of PO statuses in ERP or tracking systems.
2. Coordination with Logistics
    Liaise with the logistics team to ensure timely collection and transportation of goods.
    Confirm readiness of shipments with suppliers and align with logistics schedules.
    Follow up on pending collections and ensure no orders are missed or delayed.
    Support resolution of delivery or collection issues.
3. Supplier & Internal Communication
    Communicate with suppliers to confirm order status, readiness, and documentation.
    Coordinate with internal teams (procurement, warehouse, operations) to ensure alignment on deliveries.
    Provide regular updates on PO progress and any issues.
4. Documentation & System Accuracy
    Ensure all purchase orders and related documents are correctly recorded and maintained.
    Verify that required documentation (invoices, packing lists, etc.) is received and filed.
    Maintain data accuracy in procurement systems to support reporting and audits.
5. Issue Identification & Escalation
    Proactively identify inconsistencies in orders, timelines, or documentation.
    Escalate issues and support resolution.
    Follow through on open issues to ensure closure.

Key Skills & Requirements:
    Strong organizational and administrative skills.
    Minimum 1 to 2 years’ experience in operations.
    High attention to detail and accuracy.
    Good communication and coordination abilities.
    Ability to manage multiple tasks and follow up proactively.
    Basic understanding of supply chain / logistics processes.

Preferred Qualifications:
    Bachelor’s degree in related field.

    Desirable Working Hours: Monday to Friday, 10:00 AM - 7:00 PM, 5:00 PM – 2:00 AM with a one-hour lunch break.
