Operations Assistant-Transport

Role Description:

The Operations Assistant supports the daily activities of the operations department in a heavy truck transport company. This role involves coordinating logistics, maintaining records, and ensuring compliance with safety and regulatory requirements. The position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment. The Operations Assistant will also be in charge to educate drivers onsite safety instruction, and ensuring all work is carried out accurately in line with safety procedure and within the given timeframe. All Operations activities should be in line with QHSE Policy Statements.

Key Tasks:

Operational Responsibilities:

• All drivers/operators are communicated on Safe working practice
• Toolbox talks on safety and environment are conducted at regular intervals
• Customer’s onsite Safety rules, procedures and requirements are understood by the drivers/operators
• Ensure all operational relevant activities at customer’s facility/site are carried out safely
• Assist drivers/operators with their work-related queries
• Coordinate with concerned onsite supervisors and representatives to obtain work related instruction
• Coordinate with customer’s EHS personnel on Safety matters and obtain information and share with the drivers
• Respond to customer and driver inquiries related to transportation schedules and issues
• Keep checks on Vehicle, Equipment for any fault/defect and if noticed coordinate with Workshop personnel for rectification
• Ensure drivers secure content on trailers appropriately and reminded of daily vehicle checklist
• Coordinate with the onsite supervisor, account administrator, EHS personnel in case of any accident and/or injury
• Maintain records of vehicle usage, fuel consumption, and trip logs
• Ensure all paperwork, including delivery notes and invoices, is correctly processed
• Listen to the driver’s work-related complaint/problem and come up with solutions in coordination with the Operations Manager/General Manager
• Take immediate action on non-confirming elements in coordination with the QHSE Manager/General Manager/Operations Manager
• Coordinate with the Operations Manager/General Manager on disciplinary action against driver/operator
• Ensure drivers have obtained relevant and applicable training involved in transportation of Hazardous material and have HAZMAT Training
• Ensure Material Safety Data Sheets (MSDS) are available where applicable and drivers trained in the usage of MSDS for quick reference on occurrence of any situation
• Ensure Risk-assessment is carried out to all activities and identified risks are rectified or controls are set in coordination with the QHSE Manager to minimize risk of any accident, incident and/or injury

Compliance & Safety:

• Ensure that all transport operations comply with company policies and government regulations
• Assist in tracking vehicle maintenance schedules and coordinating repairs
• Support safety initiatives, including driver training and compliance checks

Knowledge, Qualifications & Skills required:

• 1-2 years of experience in transport or logistics operations, preferably in heavy truck transport
• Diploma or bachelor’s degree in logistics, supply chain, business administration, or a related field
• Solid understanding of truck driving rules and regulations
• Proficiency in MS Office (Excel, Word, Outlook)
• Excellent communication and coordination skills in English, Arabic Speaker is a plus
• Knowledge of transport regulations and safety standards is a plus
