ROLE SUMMARY

  • The position is mainly responsible to effectively assist the Senior Manager/Manager - Operation/Operations Executive with tenant communication, administration and daily operation.

ROLE PROFILE

  • Lease Management: Manage the end-to-end leasing process for storage units issuing offers, preparing lease agreements, ensuring payments are received, and updating records in Yardi until closure.
  • Renewals & Audit Compliance: Send renewal offers to tenants three months before expiry and ensure all audit findings are implemented within agreed timelines.
  • Budgeting & Financial Coordination: Support in preparing storage and operational budgets, maintain budget proposal files, and track utilization of OPEX and CAPEX.
  • Financial Record Management: Raise and process POs, reconcile monthly P&L statements with Finance, and follow up on invoices, refunds, and payments to ensure timely processing.
  • Operations & Tenant Coordination: Manage tenant requests via the Tenant Portal, ensure timely responses, and handle circulars, visual merchandising, and minor works coordination.
  • Hoarding & Redevelopment Coordination: Oversee hoarding and graphics approvals, coordinate with tenants for redevelopment works, and issue related LPOs and access/shutdown notifications.
  • Documentation & Reporting: Maintain the CAR Insurance tracker, update the mall fact sheet quarterly, and compile monthly operational input for the Asset Management Report.
  • Cross-Functional Support: Assist Operations in tenant communication, induction for new tenants, and provide administrative support to ensure smooth daily mall operations.

REQUIREMENTS

  • Education & Qualifications: Bachelor s degree in Operations Management or a related field; proficiency in MS Office and MS Project, with AutoCAD knowledge considered an advantage.
  • Experience: 0-3 years of experience in mall operations, facilities, or real estate management, ideally within large shopping malls or reputable real estate developers in the GCC or abroad.
  • Financial Coordination: Supports operations budget management, annual CAPEX/OPEX planning, and coordination of the annual capital works program.
  • Operational Communication: Manages daily coordination and communication with 300+ tenants, contractors, authorities, and internal teams, ensuring efficient issue resolution.
  • Analytical & Organizational Skills: Capable of analyzing complex operational requirements, prioritizing multiple tasks, and maintaining attention to detail under pressure.
  • Personal Attributes: Meticulous, team-oriented, calm under pressure, and maintains diplomacy and professionalism while handling frequent disruptions and competing priorities.
