Operations Coordinator | Chocolate Distribution | Dubai

We are looking for a detail-oriented and organized Operations Coordinator to support the day-to-day operations of our chocolate and food distribution business. This role ensures smooth coordination between sales, logistics, procurement, production, and warehousing , playing a key part in maintaining operational efficiency and timely delivery.

• Oversee and coordinate daily operations between sales, warehouse, logistics, and production teams .
• Track order processing, delivery timelines, and inventory levels to ensure smooth flow of goods.
• Manage and update order tracking systems and reports to reflect accurate stock movements.
• Support the planning and execution of distribution schedules to retail, wholesale, and export partners.
• Ensure all operational documentation (invoices, delivery notes, purchase orders) is complete and accurate.

• Coordinate with logistics partners and freight companies for deliveries, customs clearance, and shipping schedules .
• Monitor inbound and outbound shipments to ensure timely and cost-efficient deliveries .
• Work closely with procurement to ensure raw material availability and supplier performance .
• Manage warehouse coordination to maintain inventory accuracy and space optimization.

• Assist in developing SOPs (Standard Operating Procedures) for daily operations and logistics.
• Identify operational gaps and propose process improvements to increase productivity.
• Support in ensuring compliance with food safety, quality, and regulatory standards .

• Maintain accurate data and prepare daily, weekly, and monthly operational reports .
• Track operational KPIs (delivery accuracy, order fulfillment time, stock variance).
• Assist management with budget tracking and vendor performance reviews .

• Bachelor’s degree in Business Administration, Operations, Logistics, or related field.
• 2–4 years of experience in operations, logistics, or supply chain coordination (preferably in FMCG or food distribution).
• Strong understanding of order management, inventory, and warehouse operations .
• Proficiency in MS Office (Excel, Word, PowerPoint) ; experience with ERP systems (Odoo, SAP, Zoho) is a plus.
• Excellent communication and multitasking skills .
• Strong problem-solving mindset and attention to detail.
• Fluent in English (Arabic is a plus).
• UAE experience in logistics or distribution is preferred.
