A dental operations manager is the backbone of a practice, directing daily non-clinical operations to optimize patient care and business growth. Responsibilities include supervising front-desk staff, managing schedules and inventory, overseeing billing and insurance claims, and ensuring regulatory compliance.
Staff Leadership & Human Resources
- Recruit, onboard, and train administrative and clinical team members.
- Manage staff schedules, handle attendance issues, and process payroll.
- Conduct performance reviews and foster a supportive, team-oriented work environment.
2. Patient Experience & Scheduling
- Oversee patient check-in/check-out, ensuring a welcoming environment.
- Optimize the provider schedule to minimize wait times, maximize chair usage, and balance team resources.
- Handle escalated patient concerns and ensure patient satisfaction.
3. Financial & Revenue Cycle Management
- Manage patient billing, process insurance claims, and oversee accounts receivable.
- Ensure accurate financial reporting, fee collection, and daily payment reconciliation.
- Collaborate with the lead dentist to set quarterly and annual financial goals.
4. Practice Operations & Compliance
- Maintain compliance with health and safety regulations (e.g., OSHA, HIPAA).
- Manage inventory, order dental supplies, and maintain relationships with dental vendors.
- Implement operational workflows to streamline practice efficiency and lower overhead costs.
Qualifications
- Education: Associate’s or Bachelor’s degree in Healthcare Administration, Business, or a related field is typically preferred.
- Experience: 3–5 years of progressive leadership experience, ideally in a dental or medical setting.
- Hard Skills: Proficiency in dental practice management software (e.g., Opendental) and experience with medical billing and coding.
- Soft Skills: Strong conflict resolution, multitasking, organizational, and clear communication skills.
