The Role
This is a hands-on support role working directly with our Operations Manager and CEO. You’ll touch every part of the business — operations, sales, marketing, communications — keeping things organized, moving forward, and running smoothly.
This is not an entry-level position. We need someone who knows how to juggle competing priorities, and doesn’t wait to be told what to do next. We value thinking-on-the-go! That said, there’s plenty of room to grow and learn new things here. We believe in training and growing.
You’ll be remote, but very much present — active on Slack and Zoom throughout the workday, embedded in the rhythm of the team.
What You’ll DoDay-to-Day Operations
- Coordinate with internal teams and external partners to gather information, track deliverables, and keep projects on schedule.
- Spot tasks that can be delegated and route them to the right person or team.
- Support meetings — manage agendas, prep materials, use AI tools to record and summarize, and follow up to make sure action items get done.
- Maintain a consistent reporting cadence across Accounting, Sales, Marketing, Product, and Customer Support.
- Manage inboxes — filter spam, unsubscribe from junk, prioritize what matters, and draft or send responses when appropriate.
- Keep our digital files organized and easy to find. If a filing system doesn’t exist yet, build one.
- Review and edit documents for grammar, formatting, and brand consistency.
- Help with research, purchasing, and whatever else comes up — this role is varied by design.
Sales & Retail Support
- Create materials with the Graphics Department that help the sales team win — retail presentations, product launch decks, promotional flyers, sales one-pagers, distributor training docs, videos and point-of-sale assets.
- Support retail sales efforts by preparing buyer-facing materials, coordinating retailer communications, and helping manage sell-in and promotional activities with retail partners.
- Lead retailer launch outreach — coordinate communications, timelines, and materials for new product launches with retail partners, Influencers and Creators to ensure smooth rollouts.
- Coordinate and distribute sales training materials. Support onboarding for new reps and track performance metrics.
- Assist with international distributor management — product training, communication, and follow-up across time zones.
Community Coordination
- Coordinate the Gram Squad community (and Mom’s Club) — manage outreach, onboarding, communication, and ongoing engagement with our brand ambassador network.
- Track deliverables and timelines for Gram Squad campaigns, ensuring members have what they need and posts go live on schedule.
- Maintain organized records of community members, activity, and performance to support growth of the program.
Amazon & Shopify Support (backend support-as needed) experience a plus
- Support Amazon advertising efforts including campaign monitoring, keyword tracking, and performance reporting.
- Assist with Amazon listing management — updating product copy, images, A+ content, and ensuring listings are accurate and optimized.
- Support Shopify storefront management including product listings, collection updates, and promotional setup.
- Help monitor and report on advertising spend and performance across e-commerce platforms.
Who You Are
- 2–5+ years of experience in an executive assistant, operations support, or project management role. References required.
- Organized and clear. You communicate concisely in English, written and verbal, and you don’t let things fall through the cracks.
- A systems thinker. You follow instructions well — and when a process doesn’t exist, you document one.
- Proactive. You ask clarifying questions, prioritize on the fly, and learn the preferences and work styles of the people around you so you can anticipate what’s needed.
- Discreet. You handle confidential information with professionalism.
- Tech-comfortable. You pick up new tools quickly and aren’t intimidated by learning something new.
- Business-minded. You see the big picture, think critically, and confidently offer suggestions when you spot a better way.
- Experience working with executives or founders is a plus.
