Key Responsibilities
1. Call Management:
- Answer incoming calls promptly and professionally.
- Route calls to the appropriate department or personnel.
- Handle multiple calls simultaneously using a phone system or switchboard.
2. Customer Service:
- Greet callers with a polite and helpful tone.
- Address basic inquiries about services, products, or organization details.
3. Message Handling:
- Take accurate messages and ensure they are delivered promptly.
- Log call details and maintain communication records.
4. Administrative Support:
- Assist with scheduling appointments or meetings.
- Update phone directories and maintain call logs.
- Perform basic clerical tasks such as filing or data entry.
Qualifications and Skills
- Education: High school diploma or equivalent.
- Experience: Prior experience as a receptionist, phone operator, or in customer service is preferred.
- Skills:
- Excellent verbal communication and listening skills.
- Proficient in using phone systems and basic computer applications (e.g., MS Office).
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks and remain calm under pressure.
