Order Management Executive ( Aviation and Marine )

Qualifications Required:

  • Bachelor’s degree in Supply Chain Management, Commerce, Business Administration, or related field.

Any Technical Certification Required:

  • Strong communication & reporting skills
  • Skilled in MS Office applications, including Excel and PowerPoint with great attention to detail and analytical mindset
  • Familiarity with ERP systems

Experience Required:

  • 1–2 years of experience in order management / backend operations support / customer support.
  • Familiarity with ERP systems will be given preference.

▪ Manage the end-to-end order fulfillment process across all sales channels for Aviation and

Marine Projects.

▪ Receive and forward inquiries from customers and Principals to the relevant internal and

external stakeholders.

▪ Ensure smooth and compliant order flow in line with defined SOPs.

▪ Maintain accurate, complete, and up-to-date data entry for RFQs, POs, order confirmations,

deliveries, inspections, acceptances, CRVs, invoices, payment records, and SWIFT details.

▪ Coordinate with Principals and customers to resolve issues related to order revisions,

cancellations, and documentation.

▪ Work closely with Project Managers to prioritize shipments and ensure timely documentation

and communication related to order execution

▪ Ensure accurate and organized record-keeping of all incoming and outgoing orders, including

associated payments and documentation.

▪ Reconcile incoming and outgoing payment records against internal documentation and

Principal-provided data.

▪ Maintain and update spreadsheets and SharePoint databases for order tracking and project

documentation.

▪ Upload and manage data in CRMS, ensuring accuracy and completeness.

▪ Analyze and reconcile CRMS data with reports and records received from Principals.

▪ Prepare and present project status reports on periodic basis and performance insights to

management.

▪ Coordinate with the software team for system modifications based on evolving process

requirements or documentation changes.

▪ Maintain comprehensive, organized and ordered documentation

▪ Ensure all documentation is complete, accurate, and audit-ready

▪ Support audit requirements and maintain proper document control

▪ Ensure compliance with regulatory requirements (aviation, marine, and local authorities)

▪ Implement and follow document control procedures in line with company and project

requirements

▪ Perform any other duties assigned by the Line Manager or Head of Department (HOD)

▪ Should be able to handle data entry, follow-ups and coordination, and basic reporting

comfortably.
