PA to Director - Female:

Key Responsibilities:

  • Deliver comprehensive secretarial and administrative support to the Chief Executive.
  • Ensure effective planning and maintain administrative systems efficiently.
  • Manage the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Organize and maintain the CEO’s email, correspondence, and documents.
  • Prepare and edit reports, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen and prioritize communications, including phone calls and emails.
  • Draft and proofread emails, memos, and other communications on behalf of the CEO.
  • Organize materials for board meetings and key events, taking minutes and following up on action items.
  • Coordinate logistics for meetings, including venue booking and catering.
  • Assist the CEO in managing and tracking key projects and initiatives.
  • Conduct research and compile data to support decision-making.
  • Monitor deadlines to ensure timely completion of tasks.
  • Arrange complex travel itineraries, including flights and accommodations.
  • Plan and coordinate corporate events, conferences, and speaking engagements.
  • Provide high-level support in strategic planning and business operations.
  • Analyze data and prepare reports to assist with informed decision-making.
  • Anticipate the CEO’s needs and proactively address them.
  • Build and maintain strong relationships with internal teams, clients, and partners.
  • Represent the CEO professionally when interacting with stakeholders.
  • Oversee the visa application process for the CEO and other executives, liaising with immigration agencies and legal counsel.
  • Maintain records of visa statuses and renewals.
  • Collaborate with HR & Admin to maintain office premises and assist with guest relations.

Skills:

  • Proven experience as a secretary or administrative assistant in a corporate environment.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite and other office software.
  • Ability to multitask and prioritize effectively.
  • High level of discretion and professionalism in handling confidential information.

Qualification:

  • A Master’s or Bachelor’s degree (16 years of education) in Business Administration, Commerce, Law, Finance, or a related discipline from a university recognized by the Higher Education Commission (HEC).
  • Often with several years of relevant corporate governance/secretarial experience (e.g., 2+ years for many roles).
