Part-Time Administrative Assistant

We’re currently seeking a Part-Time Office Administrator to join our growing team of professionals in Richmond, Illinois. The selected candidate will represent the Atlantic Track organization as a positive brand ambassador.

The hours for this position will be 9:00am - 1:30pm, Monday through Friday.

Roles and Responsibilities:

  • Ensures proper flow of office procedures and supports the office by carrying out common office duties
  • Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone
  • Supports multiple functions at the organization including Human Resources, Operations, Engineering, and Sales
  • Reports directly to the Plant Manager
  • Assists in new hire orientation to include accurate completion of paperwork, compliance, and personnel files management
  • Maintains attendance records
  • Troubleshoots issues related to telecommunications; IT, phones, office equipment
  • Arranges meetings by scheduling appropriate meeting times and maintaining the office calendar
  • Assists in planning and arranging events
  • Manages reception area and flow of visitors
  • Administers data entry of daily production and cut lists
  • Prepares tags for finished goods
  • Participates in planning for Human Resources initiatives
  • Assists in maintaining Employee Recognition programs including anniversaries, birthdays, and special achievements
  • Supports payroll and accounting functions as needed
  • Maintains kitchen and communal areas
  • Maintains and orders office supplies as needed
  • Drafts, formats, and prints relevant documents
  • Creates agendas and takes meeting notes in support of Safety Committees
  • Maintains accurate records, performs data entry and other clerical duties
  • Regularly works within the Enterprise Resource Planning (ERP) system to coordinate HR, Finance, and Supply Chain initiatives
  • Ensures timely filing of production travelers and accounts receivable (A/R) and accounts payable (A/P) records

Minimum Qualifications:

  • High school diploma or equivalent (e.g. GED, HiSET, TASC, etc.)
  • Minimum of 2 years of office administration experience
  • Technical Skills, Including Proficiency with Microsoft Office Programs
  • Strong record-keeping skills, presentation Skills
  • Ability to multitask
