Job Summary
We are seeking a dynamic and detail-oriented Part Time Administrative Assistant to join our team! Responsibilities
- Manage and coordinate schedules using Microsoft Outlook Calendar and Google Workspace to ensure seamless appointment setting and meeting planning
- Provide executive administrative support by handling correspondence, proofreading documents, and preparing reports with accuracy and attention to detail
- Assist with event planning for meetings, workshops, and company functions, including logistics, materials preparation, and follow-up tasks
- Perform data entry and bookkeeping tasks using QuickBooks to maintain accurate financial records and expense tracking
- Support office management duties such as filing, organizing documents, maintaining office supplies, and managing front desk responsibilities including multi-line phone systems and phone etiquette
- Conduct transcription of meetings or notes as needed, ensuring clarity and precision in documentation
- Facilitate project coordination by tracking deadlines, preparing agendas, and communicating with team members to ensure timely completion of tasks
Requirements
- Proven administrative experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent typing speed along with transcription and proofreading skills
- Ability to manage multiple priorities efficiently while maintaining professionalism under pressure
- Strong communication skills including phone etiquette and customer service orientation
- Familiarity with office management procedures such as filing systems, data entry, and front desk operations
- Experience supporting executives or personal assistants is a plus
- Knowledge of office equipment including multi-line phone systems and DocuSign for electronic signatures
- High school diploma or equivalent; additional administrative certifications are advantageous
- Valid driver's license and reliable transportation
