Active Marin Physical Therapy – Mill Valley, CA
Active Marin Physical Therapy is seeking a detail-oriented and personable Part-Time Bookkeeper & Medical Billing Specialist to support our growing outpatient physical therapy practice. This role combines bookkeeping, healthcare revenue cycle management, payroll support, financial reconciliation, and patient financial communication.
This is an ideal opportunity for someone with experience in both bookkeeping and healthcare collections who enjoys working independently while also interacting with patients and clinic staff in a patient-centered environment.
Position Details
- Position Type: Part-Time (approximately 20 hours/week)
- Compensation: $50/hour
- Location: Mill Valley, California
- Schedule: Hybrid
- Minimum of 1 day per week in-office required
- Remaining hours may be completed remotely
- Growth Opportunity: Position may expand into a full-time role over time
- Benefits: Benefits are not currently offered for the part-time role, but may become available if the position transitions to full-time
Key ResponsibilitiesBookkeeping & Financial Reconciliation
- Reconcile QuickBooks Online records with Wells Fargo bank accounts
- Reconcile insurance payments, EOBs, patient balances, merchant processor deposits, and bank deposits
- Review and resolve discrepancies between banking records, patient accounts, and billing systems
- Maintain accurate bookkeeping and financial reporting
- Assist with month-end reconciliation and reporting processes
Payroll & HR Support
- Process payroll and assist with payroll administration
- Manage employee benefit and retirement contribution tracking, including 401(k) contributions
- Support payroll reconciliations and payroll-related reporting
- Work within HR/payroll systems such as Gusto
- Coordinate with management regarding employee payroll and HR administrative matters
Healthcare Billing & Revenue Cycle Management (RCM)
- Support billing and collections processes for:
- Out-of-network insurance claims
- Medicare claims
- Cash-pay patient accounts
- Review insurance reimbursements and outstanding balances
- Assist with denied claims, underpayments, and collections follow-up
- Work within the clinic’s EHR and billing systems to ensure accurate account management
- Coordinate with front desk and clinical staff regarding billing and reimbursement issues
Patient Financial Communication
- Answer patient billing questions professionally and compassionately
- Communicate with patients regarding outstanding balances and payment collection
- Help maintain a positive patient experience while supporting collections processes
Required Qualifications
- Minimum 3 years of bookkeeping and/or healthcare billing experience
- Bachelor’s degree required
- Strong experience with out-of-network, Medicare, and cash-pay billing
- Proficiency with QuickBooks Online required
- Experience with payroll and HR systems required
- Experience with Gusto or similar payroll platforms preferred
- Experience working within a healthcare EHR/EMR system required
- Strong understanding of insurance EOBs, patient balances, collections workflows, and payroll reconciliation
- Strong attention to detail and organizational skills
- Comfortable discussing financial matters with patients and staff
- Ability to work independently and maintain confidentiality
Preferred Experience
- Experience with outpatient healthcare or physical therapy billing strongly preferred
- Experience in a physical therapy or outpatient healthcare setting
- Familiarity with patient collections and insurance follow-up
- Experience reconciling electronic payments, merchant processors, and bank deposits
- Experience supporting smaller healthcare businesses or private practices
