Part-Time Executive & Personal Assistant (Hybrid)

Job Overview
We are seeking a dynamic and highly organized Part-Time Executive & Personal Assistant to support a busy professional in a hybrid work environment. Key Responsibilities

In-Person Responsibilities (1–2 Days/Week)

  • Organize and maintain structured filing systems (both household and business-related), ensuring records are accurate and easily accessible
  • Pick up and drop off packages (FedEx, UPS, etc.) and assist with general errands
  • Support personal tasks such as purchasing, event/party preparation, and occasional household management
  • Assist with light office operations including physical filing, document organization, and data entry
  • Attend and contribute to a weekly planning meeting to align on priorities, schedules, and ongoing projects
  • Provide occasional in-person support for special projects or events
  • Occasional overnight travel may be required

Remote Responsibilities

  • Provide comprehensive executive administrative support, including managing calendars, scheduling appointments, and coordinating meetings using tools such as Google Workspace and Microsoft Outlook
  • Coordinate with contractors, vendors, and service providers, handling communication and follow-ups professionally
  • Manage communications on behalf of the executive, including email correspondence, document sharing, and platforms such as DocuSign
  • Take detailed meeting notes, track action items, and ensure timely follow-through on tasks and deadlines
  • Organize and maintain digital files, documents, and systems to ensure efficiency and accessibility
  • Assist with project coordination by tracking deadlines, preparing reports or presentations, and supporting overall workflow organization
  • Handle basic bookkeeping tasks, data entry, and recordkeeping (QuickBooks experience preferred)
  • Conduct proofreading, transcription, and document review to ensure accuracy and professionalism
  • Order supplies, materials, and event-related items as needed

  • High level of discretion and ability to handle confidential information
  • Comfortable managing multiple priorities in a fast-paced environment
  • Tech-savvy with proficiency in Google Workspace and/or Microsoft Office Suite
  • Reliable transportation for in-person responsibilities

Preferred Experience

  • Proven experience as an Executive Assistant, Personal Assistant, or Administrative Assistant supporting high-level professionals or entrepreneurs
  • Strong background in office management, including filing, data entry, clerical support, and customer service
  • Experience coordinating vendors, schedules, logistics, or events
  • Familiarity with bookkeeping software such as QuickBooks and basic accounting principles
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and multi-line phone systems
  • Experience with task/project management tools (Trello, Asana, or similar) is a plus
  • Strong typing skills with the ability to assist in transcription and proofreading tasks

Pay: $15.00 - $18.00 per hour

Expected hours: 10.0 – 15.0 per week
