Job Title: Finance Manager (FM)
Reports to: CharacterPlus (CP) Chief Executive Officer (CEO)
Position Objectives: The CP FM is responsible for bookkeeping duties, recording all financial transactions, maintaining financial records and ensuring all accounts are current and accurate. The CP FM follows and ensures other CP employees follow Board established financial policies and procedures.
Essential Functions:
General Office Duties
· Work with the CEO to annually file the 501c3 registration for CP on-line or as required by the state of Missouri and process all other annual filings
· Code and key accounts payable for, and process timely payments by check, online and credit card
· Key and verify invoices using appropriate information and QuickBooks coding
· Manage accounts payable
· Review statements from vendors and clients, and report any discrepancies to the CEO or DD and OM as appropriate
· Investigate and resolve all discrepancies with invoice totals with the necessary personnel
· Maintain current Accounts Receivable accounts and investigate, adjust and resolve any outstanding balances
· Process payments received by check, credit card, e-transfer, stock transfer, money order, donor advised fund, on-line, and cash
· Create all customer invoicing
· Monthly bank/credit card reconciliation and analysis of accounts and variances
· Complete physical bank deposits
· Track appropriate use of company credit card and obtain signoffs as prescribed by policy
· Work with and support the leadership team to ensure all expenses are tracked
· Process bi-weekly payroll through ADP and handle yearly 1099’s.
· Keep CEO apprised of accounting related external best practices and procedures that can benefit the organization
· Keep current on any update/maintenance to and use fundraising software, shared drives, system updates to manage all CP finances
· Assist the OM and answer and process telephone calls and emails from customers and clients
· Performs other such duties and responsibilities as may be assigned by the CEO or CP BOD
· Send weekly and yearly tax letters
Communications
· Report accounting policy concerns, opportunities for improvement, and recommended changes to the CEO and/or the Board of Directors (BOD) Chairperson
· Serve as primary communications liaison with the CP Accounting Firm, CP Bank and CP Investment Management Firm
· As the primary point of contact with member district financial offices, maintain a high level of service, clarity of information and turn-around
· Work with the CEO and CP Finance Committee to improve accounting operations and procedures
· Respond to requests for financial information or assistance by any of the CP team or BOD in a timely manner
· Attend the CP BOD and Finance Committee meetings
· Send tax letters in a timely manner
· Assist in coordinating special events
· Assists the CEO in preparing the CP annual report/special reports
· Assists the CEO in budget preparations and forecasts
Competencies, Knowledge, Skills, Abilities:
· Possess strong interpersonal, verbal and written communication skills, including ability to interface in a professional, cordial, confident and well-informed manner with CP BOD, CP staff, vendors and clients
· Read and interpret correspondence, reports, purchase orders, invoices
· Operate computer hardware/software for programming or applications; stay abreast of changes in technology and participate in necessary training to maintain appropriate level of skill necessary for efficiency
· Demonstrate strong organizational, project management, and time management skills, including ability to successfully manage multiple projects, and competing priorities with minimal supervision and oversight
· High Attention to detail and accuracy
· Excellent data entry skills
· Familiarity with a wide range of financial transactions including Accounts Payable and Accounts Receivable
· Ability to demonstrate discretion in handling confidential data
Qualifications:
· 3-5 years accounting or bookkeeping experience
· Certification in the Association of Certified Public Bookkeepers a plus
· Strong computer skills including MS Office (Word, Excel, Outlook)
· Experience with Bloomerang or similar fundraising platform preferred
· Experience with QuickBooks online preferred
· Experience with ADP payroll processing preferred
Physical Demands:
Exerts up to 20 pounds of force occasionally and/or exerts up to 10 pounds of force frequently, and/or exerts a negligible amount of force constantly. Must be able to perform duties that require sitting for extended periods of time during normal shift; must have excellent manual dexterity including the ability to perform repetitive motions; must be able to operate telephone, computer equipment, and various other pieces of office equipment.
Environmental Working Conditions:
This position operates in a professional office.
Equipment Used:
Standard office equipment, including but not limited to computer/laptop and associated software, copy machine, mail machine, printers, scanners, facsimile machines, adding machine/calculator, etc.
Travel Requirements:
Periodic travel within the St. Louis Metropolitan area. Must have reliable transportation.
Expected Hours of Work:
Normal operating business hours of the CP offices are 8:00 a.m.-4:30 p.m. Monday through Friday.
Term of Employment: Part time
The FM is expected to work an average of 20-28 hours per week during normal operating business hours, as stated above, with flexibility to set a regular schedule of days and time worked approved by the CEO. Flexible time off when requested.
Pay Rate:
$30 - $35 per hour
