Part-Time MAFAA Administrative Assistant

Description

Position Summary
Perform a variety of complex office tasks to provide support to the Mineral Area Fine Arts Academy.
Key Performance Indicators


  • Maintain accurate files and records
  • Provide MAFAA information and maintain accurate knowledge of programs
  • Maintain timely, clear communication with all stakeholders
  • Demonstrate efficiency and accuracy in managing multiple tasks
Essential Functions
  • Serve as office administrator: managing office expenses and income, including visa requests and purchases, and answering phone calls, checking voicemail, and forwarding messages to appropriate staff
  • Maintain correspondence with parents, students, patrons, and community members
  • Maintain enrollment records and import new students into the registration system
  • Use designated software (Active Network and other systems) to manage enrollments, registrations, payroll, reporting, and customer data
  • Facilitate communication amongst Fine Arts departments and across campus
  • Maintain updated departmental records related to recruitment and other departmental initiatives
  • Maintain updated calendar of Fine Arts events and share with relevant stakeholders
  • Coordinate maintenance of music libraries and update records
  • Coordinate departmental equipment/supply inventory and maintain updated records
  • Assist in management and organization of departmental and shared storage spaces.
  • Facilitate communication with on and off-campus departmental stakeholders. Communication includes but is not limited to recruitment endeavors, sponsorships, departmental promotion, etc.
  • Coordinate departmental event planning. Tasks include but are not limited to reserving on or off-campus spaces, securing necessary event support resources, producing programs, promoting event, etc.
  • Facilitate departmental event admissions. Tasks include but are not limited to ticket sales (pre-sale and gate sales), tracking and depositing income, etc.
  • Coordinate scholarships processes. Tasks include but are not limited to maintaining updated applications, organizing applications, preparing internal and external correspondence, etc.
  • Manage work study student employees, as needed and available
  • Set up and administer registration for MAC Jazz Festival and MAFAA Summer Camps
  • Assist with planning and execution of recitals, special events, summer camps, and festivals
  • Maintain accurate class and lesson records and rosters including providing the necessary connection between students, potential students and our instructors/programs
  • Perform other clerical and related duties as assigned

Technical skills:
Excellent computer skills including proficiency with Microsoft Office, Access, PageMaker, Adobe Acrobat Pro, and spreadsheet software.
Proficient writing skills to create letters, summaries, and professional reports. Ability to examine documents for accuracy and completeness.
Experience
Education:
Associate’s degree or two years directly related full-time work experience.
Work Experience:
At least one year full-time highly skilled, directly related work experience in addition to above criteria.
Industry Knowledge:
Experience in general office work and familiarity with the local arts community.
Work Environment and Physical Requirements
Working in a professional office environment this position requires sitting, standing, stooping, kneeling, reaching, walking, pushing, pulling, light lifting, grasping, talking, seeing, hearing and repetitive motion.
Position will include evening and/or weekend work.
