Job Overview

Responsibilities

  • Greet visitors and manage front desk duties with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Perform data entry and maintain organized filing systems both digitally and physically
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support calendar management and scheduling for team members or executives
  • Prepare correspondence, proofread documents, and ensure accuracy in all written materials
  • Manage office supplies inventory, place orders, and maintain stock levels
  • Provide excellent customer support by addressing inquiries efficiently and courteously
  • Coordinate meetings, including setting up conference rooms and handling necessary arrangements
  • Support general office management activities to promote a productive work environment

Qualifications

  • Proven office experience with strong clerical and administrative skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and high computer literacy for data entry and document preparation
  • Experience with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are a plus for serving diverse clients or team members
  • Knowledge of QuickBooks or other bookkeeping software is preferred but not required
  • Demonstrated ability to handle confidential information discreetly
  • Strong attention to detail with excellent proofreading skills
  • Previous personal assistant or office management experience is advantageous
  • Ability to manage time efficiently in a fast-paced environment
