Part-Time Office Assistant needed for growing pool company.

Remote Administrative Assistant – Pool Construction Company

Growing pool construction company is looking for a dependable remote administrative assistant to help manage day-to-day operations and support the owner. This role focuses on keeping projects organized, communicating with clients, and making sure administrative tasks don’t fall through the cracks.

Hours

  • Part-time: 3–4 hours per day
  • Potential for more hours as the company grows
  • Must be available during normal business hours to return calls and handle follow-ups

Responsibilities

  • Return customer calls as needed (inbound calls are initially handled by an answering service)
  • Schedule estimates, service calls, and project appointments
  • Follow up with clients and keep them updated on project status
  • Place and track material orders with suppliers
  • Ensure subcontractors and vendors submit required paperwork (insurance certificates, agreements, etc.)
  • Track and manage business insurance renewals and other administrative deadlines
  • Maintain organized job, vendor, and customer records
  • Assist the owner with other administrative tasks as needed

Requirements

  • Strong organization and attention to detail
  • Professional phone and written communication
  • Ability to manage multiple tasks and follow through without constant supervision
  • Reliable internet connection
  • Comfortable using email, calendars, and basic office software

Equipment

  • A company laptop will be provided for work use

Preferred (not required)

  • Experience working with construction, contracting, or home service companies
  • Experience coordinating with vendors or subcontractors
