Job Purpose
To support the service and workshop teams by accurately identifying, sourcing, and supplying automotive parts in a timely manner. The Parts Advisor ensures excellent customer service, efficient parts operations, and proper inventory management to support smooth workshop productivity.
Key Responsibilities
Parts Identification & Sales
- Identify correct parts using EPC (Electronic Parts Catalogue), VIN numbers, and technical information.
- Provide accurate parts quotations to customers, service advisors, and technicians.
- Communicate availability, pricing, and delivery timelines clearly and professionally.
- Promote upselling and cross-selling of parts, accessories, and related services.
- Process customer walk-in and phone inquiries promptly.
Workshop Coordination
- Coordinate closely with the workshop team to ensure timely parts supply for ongoing repairs.
- Prepare parts requisition orders for technicians and ensure correct issuance of parts.
- Track special-order parts and update the workshop team on arrival and delays.
Inventory & Store Management
- Maintain proper stock levels by monitoring fast-moving and slow-moving items.
- Receive, inspect, and store incoming parts accurately.
- Manage stock rotation (FIFO) and ensure proper labeling and storage.
- Conduct regular stock counts and assist with annual inventory audits.
- Ensure parts return, warranty parts, and replacements are processed as per policy.
Documentation & System Entries
- Create and update parts invoices, GRNs, and requisition forms in the system.
- Maintain updated records for parts transactions and stock movements.
- Ensure correct coding and pricing during billing.
Customer Service
- Provide professional assistance and technical guidance to customers regarding parts.
- Handle complaints, returns, and exchanges politely and efficiently.
- Maintain strong customer relationships to enhance repeat business.
Compliance & Safety
- Follow company policies, safety regulations, and manufacturer procedures.
- Keep the parts counter and storage area clean, safe, and organized.
Qualifications & Requirements
- Diploma/Technical Certification in Automobile Engineering or related field.
- Minimum 2–3 years of experience as a Parts Advisor in an automotive workshop (European brands preferred, if applicable).
- Strong knowledge of automotive components, vehicle systems, and parts catalogues.
- Proficiency in automotive DMS/EPC systems.
- Excellent communication, customer service, and coordination skills.
- Ability to work under pressure and manage multiple requests.
- Attention to detail, accuracy, and strong organizational skills.
