Parts Manager

We are seeking an experienced and customer-focused Parts Manager to lead our parts department and ensure efficient, accurate, and timely availability of parts to support service and operations. The successful candidate will manage inventory control, parts procurement, warehouse operations, vendor relationships, and the parts team to deliver outstanding service to internal technicians and external customers. This role requires strong operational leadership, inventory and supply chain expertise, excellent communication skills, and a continuous improvement mindset.

Key Responsibilities - Parts Management & Operations

  • Lead and manage daily parts operations including receiving, storage, picking, packing, shipping, and returns to ensure accurate fulfillment and timely support for service teams and customers.

  • Own inventory control practices: maintain appropriate stock levels, perform cycle counts and physical inventories, reconcile discrepancies, and implement corrective actions to minimize shrinkage and stockouts.

  • Manage parts procurement and replenishment processes, including supplier selection, purchase orders, lead time optimization, and cost control to balance availability and working capital.

  • Develop and maintain parts cataloging, SKU standards, bin locations, labeling, and documentation to enable efficient warehousing and order accuracy.

  • Establish and monitor KPIs and reporting for inventory accuracy, fill rate, on-time delivery, turns, and aging; analyze trends and drive continuous improvement initiatives.

  • Coordinate with service, operations, and logistics teams to prioritize parts allocation for urgent repairs, warranty work, and critical projects; support cross-functional planning for major releases or deployments.

  • Manage vendor and supplier relationships for parts, negotiated pricing, lead times, and service-level expectations; evaluate performance and hold suppliers accountable to agreements.

  • Implement and maintain parts management systems and integrations with ERP/ticketing platforms; optimize workflows and automation for ordering, receiving, and fulfillment.

  • Recruit, train, and develop a high-performing parts team; create standard operating procedures, runbooks, and knowledge base content to ensure consistent execution and effective onboarding.

  • Ensure compliance with safety, regulatory, and quality standards in warehousing and parts handling; enforce best practices for hazardous materials, ESD protection, and secure storage.

  • Drive cost-saving initiatives through process improvements, inventory rationalization, vendor negotiations, and waste reduction while maintaining service levels.

Required Qualifications - Skills & Experience

  • Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field, or equivalent practical experience.

  • 5+ years of progressive experience in parts, inventory, or warehouse management with at least 2 years in a leadership role.

  • Demonstrated expertise in inventory control, demand planning, procurement, and warehouse operations.

  • Proven ability to manage KPIs and operational reporting; comfortable translating metrics into actionable improvement plans.

  • Experience with inventory and ERP systems (e.g., Oracle NetSuite, SAP, Microsoft Dynamics) and familiarity with warehouse management and order fulfillment tools.

  • Strong vendor management skills including contract negotiation, performance monitoring, and supplier development.

  • Excellent communication and collaboration skills; ability to coordinate across technical and non-technical teams and present clearly to leadership.

  • Demonstrated leadership and coaching capabilities with a focus on building inclusive, high-performing teams.

Preferred Qualifications - Tools, Certifications & Domain Experience

  • Certifications such as CPIM, CSCP, CPSM, or relevant logistics/warehouse certifications are a plus.

  • Experience in technology, SaaS, or hardware support environments where rapid parts turnaround and field support are critical.

  • Familiarity with barcode/RFID systems, WMS integrations, and automation tools for replenishment and order routing.

  • Background in continuous improvement methodologies (e.g., Lean, Six Sigma) and experience leading process improvement projects.
