Job Description – Patient Relations & Sales Coordinator(Philippines)

Position Summary:
The Patient Relations & Sales Coordinator is responsible for ensuring a seamless patient journey from inquiry to treatment. This role combines patient coordination, sales, CRM, marketing follow-ups, service training, and compliance awareness to enhance patient satisfaction and achieve clinic growth targets.

Key Responsibilities:

1. Patient Coordination

Assist doctors during consultations for pricing discussions and help in convincing patients for treatment.

Support patients during treatment to ensure comfort and trust.

Collect reviews and testimonials from satisfied patients.

Distribute vouchers and offers for patients’ future treatments.

2. Sales

Book appointments for new patients through phone, WhatsApp, Meta, and other channels.

Follow up on new inquiries promptly and effectively.

Upsell additional treatments based on doctor recommendations and consultations.

Achieve monthly sales targets and contribute to revenue growth.

3. CRM & Patient Follow-ups

Manage bookings and scheduling in the clinic system.

Arrange follow-up appointments and provide offers for upcoming treatments.

Follow up with old patients regarding pending treatments or check-ups.

4. Marketing Support & Follow-ups

Coordinate with the Marketing/Meta team regarding active offers, and request removal of ineffective campaigns.

Request new offers/designs based on market trends, compare with competitors, and after doctors’ confirmation, forward to Marketing.

Coordinate photography/videography sessions and ensure content variety.

(Optional/Future) Assist with running ads and verifying target audiences.

5. Phone & Message Management

Answer phone calls and messages (WhatsApp, Instagram, Meta) in a professional and timely manner (24/7 availability as per duty schedule).

Categorize inquiries (appointments, packages, insurance, follow-ups) and respond with appropriate templates.

Send appointment reminders and follow up with patients after treatment.

Document all communication in the CRM for proper tracking.

6. Service Training & Patient Communication

Learn all clinic services (dentistry and dermatology/beauty) in detail.

Explain treatments accurately and clearly to patients, highlighting benefits, procedures, and expectations.

Ensure patients understand treatment plans before starting.

Use role-play or mock consultations to practice explaining services confidently.

7. Compliance & DHA Knowledge (New – for Clinic Manager support)

Maintain basic awareness of DHA rules and regulations related to patient data, insurance claims, treatment consent, and marketing compliance.

Assist the Clinic Manager by ensuring that patient coordination, sales practices, and communication follow DHA guidelines.

Report any potential compliance issues or patient safety concerns to the Clinic Manager.
