Job Title: Treatment Coordinator

Role Overview

The Treatment Coordinator is a key patient-facing role at The Dental Scope, responsible for ensuring a smooth patient journey from enquiry to treatment completion. This role combines patient communication, appointment coordination, treatment explanation, and lead conversion, while also supporting clinic operations through inventory management and instrument sterilization when required.

The ideal candidate is empathetic, organized, confident in communication, and comfortable converting enquiries into booked treatments.

Key Responsibilities: Patient Coordination & Experience

  • Act as the primary point of contact for patients before, during, and after consultations
  • Explain treatment plans, procedures, timelines, and costs clearly and confidently
  • Address patient concerns, anxiety, and questions with empathy and professionalism
  • Ensure a smooth, reassuring, and premium patient experience aligned with The Dental Scope’s values

Appointment Scheduling & Management

  • Schedule, confirm, reschedule, and manage patient appointments efficiently
  • Coordinate with doctors to optimize chair-time and reduce gaps or cancellations
  • Follow up with patients for pending treatments and missed appointments
  • Maintain accurate patient records and appointment logs

Lead Management & Conversion

  • Handle incoming leads from calls, WhatsApp, Instagram, and other platforms
  • Convert enquiries into booked consultations through effective communication
  • Follow up on treatment estimates and convert planned cases into active treatments
  • Track lead status and report conversion outcomes regularly

Inventory & Clinic Support

  • Monitor and maintain clinic inventory (consumables, materials, basic supplies)
  • Ensure timely stock updates and inform management of low inventory levels
  • Assist with instrument sterilization and operatory preparation when required
  • Support smooth daily clinic operations during peak hours

Required Skills & Qualities

  • Excellent verbal and interpersonal communication skills
  • Strong patient-handling and persuasion abilities
  • Organized, detail-oriented, and good at multitasking
  • Comfortable with follow-ups and sales-oriented conversations
  • Basic understanding of dental treatments (training can be provided)
  • Willingness to assist with clinical support tasks when needed

Preferred Qualifications

  • Experience in a dental clinic or healthcare setup (preferred but not mandatory)
  • Experience in patient coordination, front desk, or healthcare sales
  • Familiarity with appointment scheduling systems and WhatsApp communication
