Patient Experience Coordinator

CCS Pediatric Therapy & Family Wellness is a family-focused, evidence-based, multidisciplinary small private practice with physical, occupational, speech and developmental therapists. We work with children ages 0-21 with all abilities and strive to treat each family as a whole. We are a close-knit and collaborative group looking for a strong individual to join our team as a Patient Experience Coordinator as we continue to grow.

Overview
We are seeking a dedicated and organized Patient Experience Coordinator to join our team. This role is essential in providing excellent customer service while managing the front desk operations of our medical office. The ideal candidate will possess strong written and verbal communication skills, a friendly demeanor, and a solid understanding of scheduling and billing practices.

Duties

  • Greet patients and visitors warmly, ensuring a positive first impression.
  • Manage arrivals and ensure that movement in and out of the waiting room to sessions is efficient and timely
  • Manage incoming phone calls with professionalism and effective phone etiquette.
  • Schedule appointments and maintain an organized calendar for the office.
  • Assist patients with insurance verification.
  • Utilize our billing and scheduling software for patient management and record keeping.
  • Maintain confidentiality of patient information in compliance with HIPAA regulations.
  • Collaborate with therapists and other team members to ensure smooth operations within the office.
  • Monitor and maintain supplies in the office.
  • Help coordinate and maintain equipment in the clinic, including maintaining organization and cleanliness of our toys.

Qualifications

  • Previous experience in a medical office setting is preferred but not required.
  • Be a team player and enjoy working with people, especially children and their families.
  • Ability to learn and use new programs quickly, including billing and scheduling programs and Microsoft 365 suite. Bonus if you have knowledge and ability to use Canva and other web based programs, including social media.
  • Strong phone etiquette and customer service skills are essential.
  • Ability to take payments and maintain accurate records, both professionally and promptly.
  • Ability to manage multiple tasks efficiently while maintaining a strong attention to detail and maintain organization.
  • Ability to problem solve and be a self-starter to address identified problems
  • Excellent communication skills, both verbal and written.
  • A proactive approach to problem-solving and teamwork.
  • General knowledge of office equipment and how to use them
