Patient Experience Representative (PER)

At Circle5, we provide end-to-end medical billing and administrative support to healthcare providers across the U.S., spanning multiple specialties — including psychiatry, internal medicine, cardiology and family practice. Our goal is to help practices streamline operations, improve revenue cycles, and deliver a seamless experience to both providers and their patients.

Position Overview: We’re looking for a Patient Experience Representative (PER) to join our growing team. As a PER, you’ll serve as the direct point of contact for patients on behalf of our partner providers, ensuring every interaction is handled with empathy, accuracy and professionalism. You’ll play a key role in maintaining trust, resolving patient inquiries and supporting efficient billing and communication workflows.

Key Responsibilities

  • Act as the first point of contact for patients — handling inbound/outbound calls, emails and portal messages.
  • Assist with appointment coordination, billing inquiries, payment questions and insurance verification.
  • Maintain accurate patient records within EHR/EMR systems (e.g., eClinicalWorks, Tebra, Athena, etc.).
  • Collaborate with internal billing teams to address patient concerns promptly and accurately.
  • Ensure a positive patient experience through effective communication and issue resolution.
  • Identify and escalate complex concerns to the appropriate team or provider as needed.
  • Support compliance with HIPAA and all applicable healthcare privacy regulations.

Qualifications

  • Prior experience in medical billing or patient services preferred.
  • Excellent communication and customer service skills.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Familiarity with EHR/EMR systems and patient portals.
  • Empathetic, patient-focused and solution-oriented approach.
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

Projected Total Compensation: Rs50,000.00 - Rs75,000.00 per month
