Job Summary
We are seeking a dynamic and compassionate Patient Service Representative to join our healthcare team! In this vital role, you will be the first point of contact for patients, providing exceptional customer service while managing a variety of administrative and clinical tasks. Your energetic approach will help create a welcoming environment, ensuring smooth patient flow and accurate documentation. You will handle appointment scheduling, insurance verification, medical record management, and support clinical staff with administrative duties. Responsibilities

  • Greet patients warmly and professionally, ensuring a positive first impression at the front desk or phone line
  • Schedule appointments efficiently using electronic health record (EHR) system
  • Verify insurance coverage and benefits, including Medicare and Medicaid, ensuring accurate billing processes
  • Collect and review patient information, updating medical records and documentation in compliance with HIPAA regulations
  • Assist with patient check-in and check-out procedures, including intake forms and demographic updates
  • Manage multi-line phone systems with excellent phone etiquette to address patient inquiries and direct calls appropriately
  • Support clinical staff by preparing patient charts, updating care plans, and handling medical records requests
  • Maintain organized filing systems for medical records, ensuring confidentiality and compliance with health information management standards
  • Handle insurance verification processes to facilitate smooth reimbursement workflows
  • Support office management tasks such as filing, data entry, and maintaining clinic supplies

Requirements

  • Proven experience in a medical office or healthcare setting with strong clerical skills
  • Familiarity with EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Eaglesoft or Dentrix
  • Knowledge of medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing procedures
  • Experience with insurance verification processes including Medicare and Medicaid procedures
  • Excellent customer service skills with the ability to communicate effectively in bilingual environments preferred
  • Strong organizational skills with attention to detail for documentation review and record keeping
  • Proficiency in Microsoft Office Suite (Word, Excel) along with typing skills including 10-key typing capabilities
  • Ability to handle sensitive patient information in compliance with HIPAA regulations
  • Previous clinic or dental office experience is highly desirable
  • Office management skills including appointment scheduling, front desk operations, and multi-line phone handling
