Position Description
The Patient Transportation Coordinator (PTC) is responsible for scheduling patient appointments and transportation services while providing exceptional customer service. This is a customer service position that requires an ability to multitask in stressful situations while providing excellent service to patients, colleagues, and third-party organizations over the telephone and computer.
This position requires detailed knowledge of all aspects of medical appointment scheduling, including patient appointments and registration protocols. In this role, the Patient Transportation Coordinator speaks to patients needing transportation services. The PTC confirms patient demographics and schedules appointments with detailed coordination of appointment time and location to efficiently schedule the Transportation Services pick up and drop off.
Qualifications, Education, and Experience

Minimum of 2 years customer service experience, preferably in an inbound Medical Scheduling environment.

Adept at all applicable telephone and computer software, i.e., Word, Excel, and Outlook.

Outstanding customer service, communication and interpersonal skills.

Bilingual English & Spanish Required.
Essential Functions

Logistics - Demonstrates attention to detail in planning and coordinating transportation routes by completing actionable requests for patient pick up and drop off ensuring that optimal routes are created and scheduled.

Dispatch/Communication - Communicates with patients to confirm transportation arrangements and provide necessary instructions. Communicates with drivers and staff to ensure accurate dispatch flow by adhering to schedules and addressing any issues and delays. Communicates clearly and effectively to identify and resolve patient concerns while maintaining cultural awareness.

Access to Care - Demonstrates a genuine desire to provide access to care for all patients. Is highly invested in collaborating with other departments to reduce barriers to care and to coordinate transportation services while striving to support overall organizational goals.

Patient Experience - Provides a unique experience that reinforces the Center’s mission. Establishes a positive relationship with patients in alleviating concerns, escalating requests, and facilitating Center information regarding various Center support programs.

Compliance - Ensures compliance with all transportation regulations and safety standards are met by adhering to local/state/federal regulations while adhering to policies and procedures. Reports any accidents, deficiencies and issues in vehicles to the Operations Manager when they are noted. Maintains upmost patient confidentiality in accordance with HIPAA. Clearly understands and enforces the Center’s policies and procedures.
