Ferguson Trenching Co., Inc. and FTC Aggregate Supply, LLC (FTC) are seeking an experienced Payroll Administrator to oversee payroll operations for both companies. The Payroll Administrator will be responsible for full cycle in-house weekly payroll processing for approximately 225 employees. Responsibilities will include the preparation, distribution, and documentation of payroll, as well as addressing employee inquiries related to payroll matters.
This role requires a strong attention to detail, a deep understanding of payroll regulations, and excellent organizational skills. You will be a point of contact for payroll inquiries, collaborate with multiple departments, and ensure compliance with tax laws and company policies.
This position is full-time, in office position based in Odenton, MD.
Responsibilities include but not limited to:
Payroll Duties
- Perform full cycle inhouse payroll processing for approximately 225 employees, including processing of payroll taxes and garnishments
- Handle all aspects of certified payroll processing
- Gather and validate payroll information including new hires, terminations, promotions and pay changes.
- Assist with the collection of weekly hours for over 225 employees with varying methods of time collection.
- Maintain a variety of excel schedules and account analyses related to gross payroll and deductions.
- Track and maintain employee deduction schedules including insurance, advances, garnishments, and other withholdings.
- Verify and update employee records in the payroll system.
- Analyze and maintain employee paid time-off balances.
- Administer employee benefits programs related to payroll deductions.
- Monitor and resolve payroll discrepancies, investigating and resolving issues promptly and accurately.
- Generate payroll reports, including tax filings, benefits deductions and other required reports, ensuring compliance with regulatory requirements.
- Maintain confidentiality and data security standards for all payroll-related information.
- Address employee inquiries regarding payroll, benefits, and deductions.
- Ensure compliance with all relevant laws and regulations, including tax laws, employment laws, and other relevant regulations.
Benefits Administration Duties
- Administer employee benefit programs, such as health insurance, dental, vision, life insurance, 401(k), and wellness programs.
- Serve as a point of contact for benefits vendors.
- Process 401(k) enrollments, changes, terminations; send out 401(k) distributions and loan paperwork requests to the vendor.
- Enter and maintain employee benefit deductions as appropriate.
- Assist in the Open Enrollment process of our benefit plans for all employees, including preparation of enrollment packets to employees, collecting forms and processing data.
- Provide employees with information on current plan options.
- Ensure compliance with government regulations, such as HIPAA, FMLA, ADA, and COBRA
- Assist employees with claims and verify insurance billing.
- Maintain employee benefit files and update employee payroll records.
Human Resources Duties
- Maintain and update employee payroll records, including new hires, terminations, and changes in pay and benefits.
- Coordinates and conducts new hire processes for managing staff including orientation and new hire paperwork.
- Collect and maintain new hire documentation and hiring records.
- Completes Forms I-9, verifies I-9 documentation, and maintains I-9 files.
- Maintain and update employee records in a timely and accurate manner.
- Respond to employment-related inquiries from employees and escalate as needed.
- Respond to employee questions and/or concerns regarding Human Resource policy, procedures, or employee handbook interpretations.
- Assists with maintaining compliance with federal, state, and local employment laws and regulations, and recommended best practices.
Qualifications
- 3+ years of experience in payroll, benefits, and human resource administration.
- Experience in payroll software and systems, with strong data entry and analytical skills.
- Experience with Starbuilder accounting and payroll software program a plus.
- Experience with certified payroll and prevailing wage reporting is highly desirable.
- Knowledge of payroll laws, tax regulations, and compliance standards.
- Accounting experience preferred.
- Bilingual in Spanish a plus
- Must pass a mandatory pre-employment drug test and background check.
- Strong written and oral communication skills and ability to work well in a team environment.
- Proficient with Microsoft Office applications and general knowledge of other computer applications.
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
This is a full-time, salaried, in-office position being offered. FTC offers an excellent benefits package to include health and dental insurance, paid time off, paid holidays, 401k retirement plan, life insurance, weekly pay, and more.
Salary range: $65,000-$75,000 per year – based on experience.
