The Payroll & Benefits Administrator is responsible for the accurate and timely administration of payroll, employee benefits, leave programs, and related activities while serving as a key resource for employees. The Payroll & Benefits Administrator ensures compliance with federal, state, and local regulations while maintaining confidentiality, accuracy, and exceptional employee service.
Process payroll accurately and on schedule for hourly, salaried, and seasonal employees.
Review and audit employee timekeeping records, attendance, overtime, and pay adjustments for accuracy and policy compliance.
Maintain payroll records including earnings, deductions, direct deposits, tax forms, wage assignments, and employee demographic information.
Process payroll-related changes including new hires, terminations, promotions, wage changes, bonuses, commissions, and retroactive pay adjustments.
Administer employee deductions including benefits, retirement contributions, garnishments, child support orders, tax levies, and other withholdings.
Reconcile payroll data and resolve discrepancies in a timely manner.
Prepare and process payroll reports, tax filings, W-2s, and other required documentation.
Ensure compliance with all federal, state, and local wage and hour laws and payroll regulations.
Coordinate with other departments and managers as needed to ensure payroll accuracy and reporting integrity.
Administer employee benefit programs including medical, dental, vision, life insurance, disability, FSA/HSA, retirement plans, and wellness programs.
Manage employee benefit enrollments, changes, terminations, and qualifying life events.
Serve as the primary point of contact for employee benefit questions and vendor coordination.
Assist employees with Evidence of Insurability (EOI) applications and related documentation.
Coordinate annual open enrollment activities and employee communications.
Reconcile benefit invoices and ensure accurate payroll deductions and carrier billing.
Maintain accurate benefits records and HRIS data integrity.
Support COBRA administration and employee continuation coverage processes. Manage and administer employee benefits programs, including health insurance, retirement plans, disability coverage, voluntary benefits and other employee perks. Collaborate with benefits providers to ensure smooth delivery of benefits and troubleshoot any issues related to employee benefits enrollment or claims.
Leave of Absence Administration
Administer and track employee leave programs, including but not limited to FMLA, medical leave, personal leave, military leave, parental leave, and ADA accommodations.
Coordinate leave documentation and communication between employees, managers, HR, payroll, and third-party administrators.
Monitor leave balances, PTO accruals, and return-to-work documentation.
Ensure compliance with applicable leave laws and company policies.
Maintain confidentiality of employee information.
Stay current on payroll, tax, benefits, and employment law changes.
Support payroll, benefits, and leave of absence audits and provide requested documentation.
Ensure accurate record retention in accordance with company policy and regulatory requirements.
Assist with HR process improvements and system implementations.
Respond promptly and professionally to employee questions regarding payroll, benefits, leave, deductions, and HRIS systems.
Provide education and resources to employees regarding benefit offerings, payroll, and leave of absence processes.
Assist with onboarding and offboarding activities related to payroll and benefits setup.
Provide general HR support and collaborate with the HR team on various HR initiatives and projects as needed.
Excellent verbal and written communication skills.
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact and professionalism.
Proficient with Microsoft Office Suite or related software.
Proficient with or the ability to quickly learn human resource information systems (HRIS), and similar computer applications.
Knowledge of payroll & benefit laws, regulations, compliance requirements, labor laws, HR functions, and best practices (or ability to quickly learn).
Strong analytical and problem-solving skills with exceptional attention to detail.
Excellent communication and interpersonal skills.
Ability to handle sensitive and confidential information with integrity.
Strong organizational skills and ability to prioritize tasks effectively
Degree in human resources, finance, or related field (preferred but not required).
2 years of human resources experience or related office experience.
Ability to sit for extended periods and work at a computer.
Must be able to lift up to 15 pounds at times.
Ability to communicate effectively in person, by phone, and electronically.
Hourly Pay: $22-$26/hour (based on experience)
