A payroll professional in an FM company will have standard payroll duties as well as responsibilities specific to the industry:
- End-to-End Payroll Processing: Manage the complete payroll cycle for a high volume of employees (potentially thousands), ensuring accurate and timely payment of salaries, bonuses, and deductions.
- Timekeeping and Attendance Management: Coordinate with site coordinators and line managers to gather and verify timesheets, overtime, leave (holiday and sickness), and expenses for both hourly and salaried employees.
- Compliance & Reporting: Ensure strict adherence to local labor laws, social security regulations (e.g., WPS and GPSSA in the UAE), and tax requirements. This includes managing end-of-service benefits calculations and processing.
- System Management: Utilize and manage payroll and HRIS systems (e.g., SAP, Oracle, Workday) to process data, troubleshoot issues, and ensure data integrity.
- Reconciliation & Auditing: Prepare and reconcile payroll entries with general ledgers, assist with internal and external audits, and generate accurate financial reports for management and finance departments.
- Employee Support: Serve as the primary point of contact for employee payroll queries, resolving discrepancies and providing clear communication regarding pay, benefits, and deductions.
Required Experience and Qualifications
- Education: A Bachelor’s degree in Accounting, Finance, Human Resources, or a related field is typically required.
- Industry Experience: Minimum of 8-10 years of proven payroll processing experience, ideally within the facilities management, hospitality, or construction industry, managing both site-based and corporate employees.
- Technical Skills:
- Proficiency in payroll software and HRIS platforms.
- Advanced Microsoft Excel skills (data analysis, VLOOKUPs, pivot tables).
- Knowledge: In-depth knowledge of relevant payroll legislation, compliance requirements, and end-of-service calculations specific to the operational region (e.g., UAE labor laws).
