Job Summary
We are seeking a detail-oriented and compliance-driven Payroll Executive to independently manage end-to-end payroll operations for our manufacturing and corporate workforce. The role requires strong expertise in statutory compliances, factory payroll norms, shift-based attendance, and coordination with HR, Accounts, and external authorities.
Key Roles & Responsibilities
1. Payroll Operations
- Manage end-to-end monthly payroll processing for factory and office employees
- Preparation, verification, and finalization of:
- Attendance, shifts, overtime (OT), incentives, bonuses
- Deductions, arrears, increments, and special payments
- Ensure timely salary disbursement and bank uploads
- Handle full & final settlements, gratuity calculations, and leave encashments
- Maintain accurate payroll records and employee salary structures
2. Statutory & Legal Compliance (Manufacturing Focus)
- Ensure full compliance with:
- Provident Fund (PF)
- ESIC
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Income Tax (TDS), Form 16 & Form 12BA
- Strong working knowledge of:
- Factories Act, 1948
- Shops & Establishment Act
- Minimum Wages Act (Textile / Garment Industry)
- Payment of Wages Act
- Bonus Act & Gratuity Act
- Coordinate inspections, notices, and submissions with labour authorities
- Support internal and external statutory, payroll, and compliance audits (SEDAX / Social Audits preferred)
3. Systems, MIS & Controls
- Manage payroll through ERP / HRMS / Excel-based systems
- Generate and maintain:
- Payroll MIS reports
- Statutory registers and returns
- Monthly, quarterly, and annual compliance data
- Ensure confidentiality, accuracy, and data integrity at all times
4. Coordination & Employee Support
- Act as the single point of contact for payroll-related employee queries
- Coordinate with:
- HR for attendance, leave, and employee movements
- Accounts/Finance for reconciliations and statutory payments
- External consultants for PF, ESIC, tax filings
- Support management with payroll cost analysis and budgeting inputs
Key Skills & Competencies
- Strong expertise in manufacturing payroll & labour compliances
- In-depth knowledge of PF, ESIC, PT, LWF, TDS
- Advanced MS Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, formulas)
- Experience with payroll software / ERP / HRMS
- High level of accuracy, confidentiality, and attention to detail
- Ability to work independently and manage deadlines
- Good communication and stakeholder coordination skills
Education & Qualification (Recommended)
Minimum Required:
Preferred / Ideal:
- MBA / PGDM in HR, Finance, or Industrial Relations
- Certification or hands-on exposure in Labour Laws / Payroll Compliance is an added advantage
Preferred Candidate Profile
- Experience handling payroll for medium to large workforce (factory + office)
- Prior exposure to textile / garment / manufacturing industry payroll
- Ability to manage payroll independently with minimal supervision
- Candidates residing near Kalyan / Kanjurmarg preferred
