Payroll Specialist

Reports To: Director of Payroll Work Year Days: 226 Primary Purpose:
Ensure that payroll is delivered in compliance with applicable state and federal laws and regulations efficiently and in a timely manner.

Qualifications:
Education/Certification:
High school diploma or GED
Some college preferred

Special Knowledge/Skills:
Knowledge of substitute and employee attendance systems
Ability to maintain a high level of confidentiality
Ability to prioritize workflow and work well under time constraints and with interruptions
Ability to work cooperatively in a team environment
Knowledge of payroll accounting and auditing principles
Effective communication and interpersonal skills
Proficient in keyboarding and file maintenance
Ability to work with numbers in an accurate and rapid manner

Ability to use software to develop spreadsheets, databases, and word processing

Experience:

Minimum of two years of payroll experience preferred

Major Responsibilities and Duties:

Payroll:

Take incoming calls and promote positive public relations between the school and community.
Receive and process mail regarding the Payroll Department.
Prepare payroll forms using a personal computer.
Maintain department files.
Perform payroll data entry, initiate and maintain employee records, retrieve archived files, compile data for reports, and inventory and maintain payroll files and forms.
Communicate with other departments and campuses to ensure the accuracy of the information reported; resolve payroll problems and inquiries.
Respond to requests from financial institutions regarding verification of employment.
Calculate payroll adjustments as necessary.
Work with campuses and departments to process daily absence reports.
Work in cooperation with the Benefits Department to get information regarding the Sick Leave Bank and maintain all information in the financial software, timekeeping system, and substitute/attendance software.
Verify employee leave is updated appropriately in financial software.
Other Duties as Assigned:

Maintain emotional control under stress. Work with frequent interruptions. Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching. Occasional light lifting and carrying (less than 15 pounds). Prolonged use of computer. May work prolonged or irregular hours.
