Payroll Specialist and HR Assistant

HR Assistant

Location: Dubai, UAE | Department: HR & Administration | Reports to: HR Lead/CFO

We’re hiring an organised, people-first HR Assistant to keep our HR engine accurate and on time. You will maintain visa/permit records, coordinate with our PRO, prepare WPS and HR packs, update SOPs/policies, and support staff day-to-day while protecting confidentiality and compliance.

Key Responsibilities

· Visa & permits: track expiries; prepare renewals/cancellations; maintain passport/visa index and reminders.

· PRO coordination: compile required docs; book appointments; follow up on submissions; log fees/receipts.

· WPS preparation: collate payroll changes; validate bank details/IBAN; prepare WPS SIF and proofs; reconcile returns.

· Onboarding & offboarding: checklists, document collection, tool access, medical insurance enroll/terminate, exit clearance.

· Employee records: maintain digital HR files (contracts, addenda, increments, warnings, leave forms); ensure version control.

· Leave & attendance: update balances; verify requests; share monthly leave/OT summaries with payroll.

· SOPs & policies: publish, version and communicate updates (handbook, code of conduct, grievance, hybrid/attendance).

· Staff support: respond to routine HR queries (letters, salary certificates, visa letters) and escalate complex issues.

· Compliance hygiene: keep KYC/UBO/AML training logs for HR, TFS acknowledgements, and audit-ready folders.

· Vendors/insurance: liaise with medical insurance provider on additions, removals, claims; maintain pay-and-claim log.

Success Metrics (KPIs)

· Zero missed visa/ID expiries; renewals initiated ≥30 days prior to expiry.

· WPS files submitted 100% on time with ≤1 correction per cycle.

· HR file completeness ≥98% during spot checks; correct templates used 100% of the time.

· New joiner onboarding completed within 3 business days of start; exit formalities within 5 business days of last day.

Must-Have Skills & Experience

· 2–4 years HR admin experience in UAE; familiar with MOHRE/Free Zone portals and basic payroll steps.

· Strong English written communication; Arabic reading/writing is a plus.

· Excel/Sheets proficiency (data validation, filters, lookups) and disciplined document control.

· High integrity, discretion, and a service mindset; comfortable with confidential information.

Job Types: Full-time, Permanent

Pay: AED5,000.00 - AED7,000.00 per month
