Job Summary

The Payroll Supervisor is responsible for overseeing and executing all payroll, allowances, and financial entitlement processes to ensure accuracy, compliance, and timely delivery. This role ensures the correct application of compensation and benefits policies, maintains and develops the HR information system related to payroll, supports automation initiatives, and prepares required financial and administrative reports. The position also ensures full compliance with labor regulations and governmental platforms such as GOSI, Qiwa, and WPS.



Roles & Responsibilities


1. Payroll Administration

• Implement and monitor all payroll, wages, allowances, and compensation policies and procedures.

• Supervise the monthly payroll cycle with high accuracy and ensure timely processing.

• Review all payroll inputs including allowances, deductions, bonuses, and salary changes.

• Verify all HR updates affecting payroll (new hires, promotions, salary adjustments, terminations, etc.).

• Finalize and approve payroll summaries before submission to Finance.


2. HRIS & Data Management

• Maintain, update, and develop the HR Information System for payroll, wages, and allowances.

• Enter and update employee data including bank accounts, onboarding entries, and return-from-leave entries.

• Ensure all payroll variables and financial changes are accurately reflected in the system.

• Maintain data integrity and ensure strict confidentiality.


3. Automation & Process Improvement

• Automate payroll processes and progressively reduce manual and paper-based workflows.

• Enhance payroll procedures, templates, and forms to improve efficiency and accuracy.


4. Financial Entitlements

• Process annual leave payments and settlements.

• Calculate and process End of Service Benefits (EOSB) according to labor law and company policies.

• Process overtime, secondment, and off-cycle payments.

• Manage employee loans and advances, ensuring accurate monthly deductions.


5. Compliance & Governmental Systems

• Execute all GOSI transactions (additions, removals, salary updates, monthly contributions).

• Handle all Qiwa payroll-related updates, including contract modifications and compliance requirements.

• Ensure full compliance with the Wage Protection System (WPS) and upload monthly files.


6. Reporting

• Prepare monthly, quarterly, and annual payroll financial reports.

• Provide senior management with accurate payroll, wages, and allowance data when needed.

• Support budgeting through payroll cost analysis and forecasting.


7. Documentation & Archiving

• Maintain accurate and organized records of payroll documents, compensation files, and financial requests.

• Ensure all necessary documentation is available before processing any financial transaction.


8. Employee & Internal Support

• Respond to employee inquiries regarding salaries, deductions, and financial entitlements.

• Coordinate with the Finance Department on salary transfers, reconciliations, and audits.

• Collaborate with the HR team to ensure payroll data aligns with employee records.

• Perform any related tasks required within the scope of work.



Requirements


Education

• Bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field.


Experience

• Minimum 3 - 4 years of experience in payroll, accounting, or HR operations.


Skills

• Fluency in Arabic and English (spoken and written).

• Strong analytical and numerical skills with high attention to detail.

• Excellent communication and presentation skills.

• Ability to work independently and within a team.

• Proficiency in Microsoft Word, Excel, and Outlook.

• Experience working with HRIS and payroll systems.

• Strong organizational skills including file and document management.

• Ability to work under pressure and meet tight deadlines.

• High level of confidentiality and professionalism.
