As we continue to grow, we are seeking a reliable Payroll & HR Assistant to join our administrative team. This individual will play an integral role in maintaining accurate payroll, supporting human resources functions, and assisting with light accounts payable responsibilities.

Position Summary

The Payroll & HR Assistant supports the CEO and leadership team by managing day-to-day HR administration, processing bi-weekly payroll, maintaining employee records, and providing general accounting support. The ideal candidate is highly organized, detail-driven, and committed to confidentiality and accuracy.

This is a hands-on position that requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced medical practice setting.

Key Responsibilities

Payroll Administration

  • Process bi-weekly payroll accurately and on schedule through the practice’s payroll platform.
  • Review timesheets, attendance, and PTO requests for accuracy prior to submission.
  • Maintain payroll records in compliance with federal and state regulations.
  • Manage employee deductions, benefit contributions, garnishments, and tax withholdings.
  • Prepare payroll reports for leadership and accounting review.
  • Support annual W-2, W-4, and related payroll documentation.

Human Resources Support

  • Maintain personnel files and ensure compliance with HIPAA and employment law requirements.
  • Assist with new-hire onboarding (offer letters, background checks, credentialing packets, benefits enrollment, etc.).
  • Track employee certifications, licenses, and training renewals.
  • Support recruitment processes including job postings, applicant tracking, and scheduling interviews.
  • Maintain HRIS data accuracy and assist with benefits administration and open enrollment.
  • Prepare employment verification letters and assist with employee status changes or terminations.
  • Support employee engagement initiatives and practice-wide communications.

Accounts Payable / General Office Support

  • Review, code, and enter vendor invoices for approval and payment.
  • Reconcile invoices to purchase orders or service contracts.
  • Monitor recurring vendor payments (utilities, phone, internet, cleaning, etc.) for accuracy and timeliness.
  • Assist in maintaining vendor files and W-9 documentation.
  • Support preparation of 1099s at year-end in collaboration with the accountant.
  • Assist with general administrative and financial projects as assigned by the CEO.

Qualifications

  • Preferred Education: Associate’s or Bachelor’s degree in Accounting, Business Administration, or Human Resources.
  • Required Experience:
  • Minimum 3 years of payroll and HR support experience, preferably in a medical practice or multi-location business.
  • Familiarity with QuickBooks, Paylocity, ADP, or similar payroll systems.
  • Basic understanding of A/P processes and general accounting principles.
  • Strong working knowledge of federal and Georgia employment laws.
  • High proficiency in Microsoft Office (Excel, Word, Outlook).
  • Excellent attention to detail, organization, and time management skills.
  • Ability to handle sensitive and confidential information with integrity.
  • Strong interpersonal skills and a professional, service-oriented demeanor.
