  • Manage Director calendars by coordinating meetings, appointments, and travel itineraries to optimize time management and enhance productivity.
  • Act as a liaison between Director and internal/external stakeholders, representing the organization professionally while maintaining confidentiality.
  • Organize and maintain filing systems, both electronic and physical, ensuring efficient retrieval of documents and compliance with data protection regulations.
  • Act as a gatekeeper by screening calls and emails, prioritizing communications, and responding on behalf of the Director when appropriate.
  • Coordinate travel arrangements, including itineraries, accommodations, and transportation, while ensuring a seamless travel experience.
  • Prepare and edit correspondence, presentations, and other documents, maintaining a high standard of professionalism and accuracy.
  • Facilitate communication across departments by ensuring timely updates and follow-ups on action items and projects.
  • Organize and maintain filing systems, both electronic and physical, for easy retrieval and efficient workflow.
  • Support personal tasks as needed, displaying discretion and confidentiality in handling sensitive information.
  • Prepare agendas and take minutes during meetings, ensuring that key decisions and action items are documented and communicated effectively.
  • Monitor and respond to emails and inquiries on behalf of Director, prioritizing urgent matters and maintaining professional communication.
  • Assist in personal tasks as required, showcasing adaptability and a willingness to support Director in both professional and personal capacities.
  • Continuously seek opportunities for process improvements, identifying and implementing tools or methods that enhance office efficiency.
