Position Overview

The Personal Assistant (PA) to the CEO provides high-level administrative, organizational, and operational support to ensure the smooth functioning of the CEO’s daily activities and strategic initiatives. This role requires exceptional communication skills, strong attention to detail, professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced real estate environment.

Key Responsibilities1. Executive Support

  • Manage the CEO’s calendar, appointments, and scheduling across internal and external stakeholders.
  • Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
  • Handle confidential documents with integrity and strict confidentiality.
  • Screen and prioritize emails, calls, and communication on behalf of the CEO.

2. Office & Administrative Management

  • Prepare official letters, reports, presentations, and memorandums as required by the CEO.
  • Organize travel arrangements, itineraries, hotel bookings, and logistics.
  • Maintain structured filing systems, records, and documentation.
  • Support coordination between departments to ensure smooth workflow and timely updates.

3. Real Estate Operations Support

  • Assist the CEO in tracking key business activities, such as sales performance, leasing updates, and property pipeline reports.
  • Coordinate with Sales, Leasing, Marketing, and Admin teams to gather weekly and monthly operational data.
  • Prepare summary reports and dashboards as requested.

4. Communication & Coordination

  • Serve as the primary point of contact between the CEO and staff, clients, partners, and external stakeholders.
  • Liaise with VIP clients, government entities, developers, and business partners.
  • Draft professional correspondence, internal announcements, and executive messages.

5. Project & Task Management

  • Assist in managing special projects and strategic initiatives assigned by the CEO.
  • Track deadlines, monitor progress, and ensure timely completion of assigned tasks.
  • Conduct basic research and compile information to support decision-making.

6. Personal Assistance

  • Provide personal support when required, such as managing personal appointments or administrative needs.
  • Handle confidential and sensitive matters with discretion and professionalism.

Qualifications & Requirements Education & Experience

  • Bachelor’s degree in Business Administration, Management, or related field is preferred.
  • Minimum 2–3 years of experience as a Personal Assistant, Executive Assistant, or Office Manager (real estate experience preferred).
  • Experience in a fast-paced, high-demand executive office environment.

Skills & Competencies

  • Excellent spoken and written English; Arabic is an advantage.
  • Strong organizational and time-management skills.
  • High emotional intelligence, professionalism, and discretion.
  • Ability to multitask, prioritize, and meet tight deadlines.
  • Advanced computer skills (MS Office, CRM familiarity is an advantage).
  • Strong interpersonal and communication skills.
