We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Responsibilities

  • Manage and maintain complex calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Handle correspondence via phone, email, and other communication channels with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Support bookkeeping and financial tasks such as invoicing, data entry in QuickBooks, and basic bookkeeping responsibilities.
  • Prepare documents through proofreading, transcription, and formatting using Microsoft Office applications to ensure accuracy and clarity.
  • Organize files, maintain records, and manage office supplies to promote an efficient work environment.
  • Provide executive administrative support by drafting memos, managing incoming calls on multi-line phone systems, and performing clerical duties such as filing and data entry.
  • Assist with event planning for meetings or company functions by coordinating logistics and preparing materials as needed.
  • Use office management skills to streamline administrative processes and improve overall office efficiency.

Skills

  • Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation and collaboration.
  • Excellent typing speed with high accuracy; capable of transcription and proofreading tasks effectively.
  • Familiarity with QuickBooks for bookkeeping tasks; experience with basic accounting is a plus.
  • Strong project coordination abilities to manage multiple tasks simultaneously while meeting deadlines.
  • Exceptional calendar management skills using Microsoft Outlook Calendar or similar tools.
  • Effective communication skills demonstrating professional phone etiquette across multi-line phone systems.
  • Office management experience including filing systems, front desk duties, data entry, and clerical support.
  • Knowledge of office technology such as DocuSign for electronic signatures and data security practices.
  • Customer service orientation with the ability to handle inquiries courteously while maintaining confidentiality.
