Personal Assistant

Job Summary
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing calendars, coordinating projects, handling correspondence, and ensuring smooth office operations. Duties

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
  • Coordinate various projects by tracking deadlines, preparing materials, and liaising with internal teams to ensure timely completion.
  • Handle all aspects of office management including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Provide executive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and preparing reports.
  • Oversee front desk responsibilities including greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing calls appropriately.
  • Organize travel arrangements, including booking accommodations and transportation while managing related documentation through DocuSign.
  • Assist with event planning for corporate functions or team gatherings by coordinating logistics and vendor communications.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with demonstrated office management skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Experience with bookkeeping software such as QuickBooks and basic bookkeeping principles.
  • Exceptional typing speed along with transcription and proofreading capabilities to ensure accuracy in all documents.
  • Knowledge of multi-line phone systems and customer service best practices to handle inquiries professionally.
  • Prior experience supporting executives or senior management is preferred; office experience or clerical experience is highly valued. Job Type: Part-time
