Job Summary
We are seeking an energetic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
- Handle phone etiquette with professionalism on multi-line phone systems, screening calls and directing inquiries appropriately.
- Assist with project coordination by tracking deadlines, organizing meetings, taking minutes, and ensuring timely follow-up on action items.
- Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
- Support event planning activities for company functions or client meetings, including logistics coordination and vendor communication.
- Perform clerical duties such as transcription, proofreading, data entry, and managing office supplies inventory.
- Provide exceptional customer service at the front desk by greeting visitors and managing incoming calls with courtesy and efficiency.
- Utilize office software tools like Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing processes.
Qualifications
- Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks, and familiarity with multi-line phone systems.
- Strong typing skills along with transcription and proofreading abilities to ensure error-free documents.
- Experience in event planning, project coordination, bookkeeping, and data entry is highly desirable.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Demonstrated ability to handle confidential information discreetly while maintaining high levels of accuracy in clerical tasks.
- Knowledge of office procedures including filing systems, office supplies management, and front desk operations.
