Role Overview
We are seeking a highly professional, discreet, and proactive Personal Assistant to support a renowned photographer with a roster of high-profile celebrity, entertainment, and brand clients. This role is critical in ensuring seamless operations, exceptional client experiences, and the smooth running of both creative and business aspects of the photographer’s work. You will act as the right-hand support, handling logistics, client relations, and administrative needs while maintaining the highest standards of professionalism and confidentiality at all times.
Key Responsibilities
- Client Management & Liaison Serve as the primary point of contact and liaison between the photographer, celebrity clients, agents, managers, brands, and production teams. Handle client communications with grace, professionalism, and responsiveness. Anticipate client needs and resolve inquiries or issues promptly and discreetly.
- Scheduling & Booking Manage and maintain a complex calendar, including photo shoots, meetings, travel, and personal commitments. Book studio time, locations, equipment rentals, and vendor services. Coordinate appointments, fittings, castings, and follow-up meetings with clients and collaborators.
- Meeting & Client Support Attend meetings, shoots, and client sessions as needed to provide on-site support. Prepare briefing documents, shot lists, mood boards, and necessary materials ahead of sessions. Greet and host high-profile clients professionally, ensuring a smooth and positive experience.
- Business & Administrative Support Manage contracts, invoices, payments, and client deliverables. Handle correspondence, emails, and phone calls with discretion. Track expenses, process reimbursements, and assist with basic bookkeeping. Organize and maintain digital and physical files, including client portfolios, releases, and archives.
- Travel & Logistics Coordination Arrange domestic and international travel (flights, accommodations, ground transport) for the photographer and occasional client/crew travel. Prepare detailed itineraries and handle any last-minute changes.
- Additional Support Run personal and professional errands as required. Assist with social media scheduling, basic marketing tasks, or event coordination when needed. Provide flexible, proactive support during busy shoot periods or high-pressure deadlines.
Required Qualifications & Skills
- 2+ years of experience as a Personal Assistant, Executive Assistant, or Client Manager, preferably in photography, fashion, entertainment, media, or luxury services.
- Proven experience working with high-net-worth individuals, celebrities, or VIP clients – strong understanding of confidentiality and discretion is mandatory.
- Exceptional organizational and time-management skills with the ability to juggle multiple priorities.
- Outstanding verbal and written communication skills; polished and professional demeanor at all times.
- Proficiency in Google Workspace, Microsoft Office, scheduling tools (e.g., Calendly, Google Calendar), and project management apps (Asana, Trello, or similar).
- Familiarity with photography workflows, creative production, or the entertainment industry is a strong plus.
- Flexible availability, including occasional evenings, weekends, or travel.
- Valid driver’s license and clean driving record (if local errands are involved).
- Highly trustworthy, solutions-oriented, and able to anticipate needs before they arise.
