Responsibilities

  • Manage complex calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate and organize events, meetings, and travel arrangements to ensure seamless execution.
  • Handle correspondence via phone, email, and multi-line phone systems with professional etiquette and prompt responsiveness.
  • Perform data entry, bookkeeping using QuickBooks, and maintain accurate records through filing, document proofreading, transcription, and office documentation management.
  • Support project coordination efforts by tracking deadlines, preparing reports, and assisting with task prioritization.
  • Oversee office management duties such as front desk responsibilities, supply inventory, filing systems, and general clerical support to maintain an efficient workspace.
  • Utilize office software including Microsoft Office Suite and Google Workspace for document creation, editing, and collaboration.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with Office management tools like DocuSign.
  • Excellent typing speed combined with transcription and proofreading skills for accurate document handling.
  • Experience with bookkeeping software such as QuickBooks and basic accounting or bookkeeping knowledge.
  • Strong communication skills with professional phone etiquette across multi-line phone systems.
  • Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
