Personal Assistant

Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Handle correspondence via phone, email, and messaging platforms with professionalism and courtesy, maintaining excellent phone etiquette.
  • Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and records.
  • Assist with event planning for corporate meetings, conferences, or team-building activities from initial concept through execution.
  • Prepare reports, proofread documents for accuracy, and transcribe audio or video recordings as needed.
  • Support bookkeeping tasks using QuickBooks or similar software, including data entry, invoicing, and basic financial record-keeping.
  • Facilitate project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
  • Manage office supplies inventory and oversee office management duties to ensure a productive work environment.
  • Utilize multi-line phone systems to handle incoming calls efficiently while maintaining professional customer service standards.

Experience

  • Proven experience as a Personal Assistant or executive administrative support role with a minimum of two years in an office environment.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and office management tools like DocuSign.
  • Strong organizational skills with the ability to multitask effectively while maintaining attention to detail.
  • Excellent typing speed combined with transcription skills for accurate documentation.
  • Experience in event planning and project coordination to manage multiple initiatives simultaneously.
  • Knowledge of bookkeeping practices using QuickBooks or comparable software for basic financial tasks.
  • Exceptional communication skills—both written and verbal—and the ability to handle front desk responsibilities with professionalism.
  • Familiarity with multi-line phone systems and calendar management tools such as Microsoft Outlook Calendar is essential.
  • Prior office experience involving clerical duties like filing, data entry, proofreading, and customer service is highly desirable. Job Types: Full-time, Part-time

Pay: $15.00 - $20.00 per hour
