We are seeking a highly organized, articulate, and proactive Personal Assistant (PA) to provide comprehensive administrative, operational, and strategic support to the executive leadership. The ideal candidate will act as a primary point of contact, managing day-to-day operations, coordinating business development initiatives, and representing the executive office during on-site visits and client meetings.
This role requires a unique blend of exceptional command over the English language, business acumen, and the flexibility to travel for site visits.
Key Responsibilities
1. Communication & Stakeholder Management
- Act as the primary gatekeeper and liaison between the executive office, internal teams, and external clients.
- Draft, review, and polish high-level corporate correspondence, emails, proposals, and presentations with absolute linguistic precision.
- Handle incoming calls, queries, and requests, ensuring they are managed with the highest level of professionalism.
2. Business Development Support & Site Visits
- Accompany executive leadership or independently attend client meetings, project sites, and corporate events.
- Understand core business objectives to effectively represent the company’s interests during external interactions.
- Assist in researching potential business opportunities, client profiles, and market trends to support business development efforts.
3. Meeting Coordination & Documentation
- Attend strategic internal and external meetings to record comprehensive, accurate, and structured Minutes of the Meeting (MoM).
- Extract and track actionable deliverables from meetings, ensuring all relevant team members are aware of their deadlines and responsibilities.
- Organize agendas, prepare briefing materials, and coordinate logistics prior to all scheduled meetings.
4. Administrative & Diary Management
- Manage complex calendars, schedule appointments, and coordinate travel arrangements (flights, accommodations, and itineraries).
- Maintain a secure, highly organized digital and physical filing system for confidential corporate and project data.
Qualifications & Requirements
- Experience: 2 to 4 years of proven experience as an Executive Assistant, Personal Assistant, or Business Development Coordinator.
- Education: Bachelor’s degree in Business Administration, International Relations, English, Communications, or a related field.
- Female Candidates will be preffered.
- Excellent Verbal and Written Communication: Must have strong, professional spoken and written communication skills
- Technical Proficiency: Strong command of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document management.
- Mobility & Flexibility: Fully comfortable traveling frequently for field site visits, vendor meetings.
- Meeting Documentation: Proven ability to listen actively and synthesize complex, fast-paced discussions into clear, structured meeting notes and action items.
- Business Acumen: A solid baseline understanding of business development, bidding processes, or commercial proposals to effectively assist with growth initiatives.
