Personal Assistant to CEO

Job Purpose:

To provide high-level administrative, secretarial, and organizational support to the Managing Director (MD), ensuring efficient handling of all business and coordination of internal and external communication, and managing the MD’s day-to-day schedule in a dynamic construction environment.

Roles & Responsibilities:

  • Reporting to Managing Director (MD) and performing secretarial and administrative duties.
  • Typing, formatting, and editing reports, documents, and presentations.
  • Entering data, maintaining databases, and keeping records.
  • Managing internal and external correspondence on behalf of senior management.
  • Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention
  • Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
  • Booking and arranging travel, transport and accommodation
  • Organizing events and conferences

Qualifications & Experience:

- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Discretion and confidentiality
- Professionalism and a proactive attitude
- Time management and attention to detail
- Good knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with construction industry terms and workflow is a plus

- Bachelor’s degree in Business Administration / Secretarial Practice / Communications
- 3+ years of experience as a Personal or Executive Secretary, preferably in the construction or engineering sector
- Fluency in English and local languages
